About BOMA BEST

BOMA Canada’s flagship program is BOMA BEST, Canada’s leading sustainability management and certification program for existing commercial real estate. For the past 5 years we have invested significant time and resources into BOMA BEST which has resulted in an impressive growth trajectory. Seeking to capitalize on this success and expected new growth and with a view to growing and diversifying organizational revenue, we are currently considering various expansion possibilities, too.

Role:

Are you enthusiastic about sustainability and dedicated to contributing positive change in the built environment? We are seeking an enthusiastic and proactive Operations Coordinator to join our team! Reporting to the Senior Manager of Program Operations, the successful candidate will play a pivotal role in advancing our mission to establish industry-leading standards for building certification and education. The coordinator will ensure efficient program delivery by advancing the daily operations of the BOMA BEST program, maintaining consistent client service and supporting process improvements in collaboration with internal teams.

Responsibilities

Program Operations Support:

Drive operational performance across all BOMA BEST functions, ensuring efficiency and consistency at every stage of program delivery
Manage assigned BOMA BEST Portfolios as their primary client contact including completing quarterly meetings, providing timely responses to client inquiries, providing administrative assistance and delivering solutions to maintain strong client relationships
Collaborate with the BOMA BEST platform provider to shape operational priorities, monitor delivery timelines, and resolve issues before they impact clients
Design and present BOMA BEST overview presentations to clients and stakeholders, positioning the program's value and roadmap
Track portfolio growth and progress including new registrations, annual verification quotas, and management company growth or transitions
Coordinate billing activities including ensuring up to date invoicing information and assisting AR efforts as needed
Lead onboarding for new portfolios, delivering training and guidance to set clients up for long-term success with administrative requirements and the platform
Convey program updates from Senior Management into clear, actionable communication for portfolio stakeholders
Maintain data integrity and governance across portfolio records, documentation, and invoicing systems

BOMA BEST Team Collaboration

Relay client feedback and suggestions to Senior Manager as well as the appropriate
BOMA BEST department member(s) i.e. Verification Manager, Associate Director of
Standards, Program Finance Manager
Collaborate with team members to resolve operational challenges and provide
suggestions for operational efficiencies
Participate in BOMA BEST team meetings and collaboration sessions

Other Responsibilities as Assigned

This role is dynamic and its duties may evolve with program and business needs; as well as you develop, however, will remain aligned with the scope of a Coordinator-level role
This role requires strong organizational, communication, and multitasking skills, with the ability to support cross-functional initiatives

Qualifications

Education: Degree or diploma in Business Management, Communications, Project Management or Environmental Studies. Knowledge of certifications like BOMA BEST, LEED, WELL, Fitwel is a plus
Experience: Must bring two to three (2 – 3) years of pertinent experience to the table
Communication Skills: Possess excellent communication skills, facilitating clear and impactful information exchange with internal and external stakeholders. Proficiency in French and/or Spanish is an asset
Customer Service: Display strong client services skills coupled with a positive attitude, fostering meaningful user interactions
Organization and Resourcefulness: Showcase excellent organizational skills and meticulous attention to detail, contributing to streamlined operations. Show adaptability, initiative, innovation, and responsiveness to change, adding agility to your skill set
Tech Savvy: Proficiency with the Microsoft Office suite (Word, Outlook, PowerPoint, Excel and Power BI). Previous exposure to back-end software administration (e.g. WordPress) is a notable advantage
Team Player: Collaborate well within a team and across departments contributing positively to team dynamics

Responsibilities
