Workplace Experience & Operations Coordinator who will be integral to ensuring smooth office operations, optimal space utilization, and a safe, engaging environment for employees and visitors. Internal Title: Coordinator, Engagement Operations
- Proven experience in office management, workplace operations, facilities management or a similar role.
- This is a fully onsite role, five (5) days per week at our downtown Toronto office, with occasional support at our Mississauga office as needed.
- Certification in health and safety management is an asset.
- Strong organizational and multitasking skills with excellent attention to detail.
- Exceptional communication and interpersonal skills.
- A can-do attitude with the ability to anticipate needs, take initiative and proactively solve problems.
- Ability to remain calm and adaptable in a busy environment.
- Ability to connect and work effectively with people from diverse backgrounds.
- Professionalism and discretion when working with employees, clients and Executive Leadership.
- Energetic, determined and resilient, with a strong focus on both employee and client experience.
- Downtown Toronto savvy, with strong knowledge of restaurants, accommodations, transportation and local venues to provide recommendations and support for employees, clients and guests.
Space Planning & Office Management- Collaborate with senior management to plan, implement and optimize space utilization strategies that support the needs of expanding teams.
- Oversee ongoing improvements to office functionality that foster collaboration and enhance the employee and client experience.
Facilities Operations & Maintenance- Oversee the management and maintenance of facility operations for the Toronto and Mississauga offices, including physical security, archiving, compliance, telephony, HVAC, landscaping, janitorial services and waste management.
- Ensure construction, remodeling and repair work is completed efficiently and within budget, while minimizing disruption to office operations.
- Maintain the reception area to ensure it is always client-ready.
- Manage inventory and replenish office supplies, beverages and snacks onsite at both the Toronto and Mississauga offices.
- Oversee security badge issuance and security system maintenance and management.
- Ensure meeting rooms are ready for employees and clients, including room resets and maintaining whiteboards.
- Coordinate catering delivery and clean-up and provide support during client meetings.
- Provide AV support and complete daily rounds of client spaces.
- Support office setup for All Employee Meetings, client meetings and internal events, including furniture, AV and décor.
- Manage the OfficeRnD booking tool for international offices and coordinate bookings with people across the organization.
- Maintain the Ivanti ticketing system for security access activations.
Health & Safety Compliance- Chair the Joint Health & Safety Committee and support ongoing health and safety requirements and compliance.
- Organize and execute safety drills, including annual fire drills, and ensure compliance with Ministry of Labour and other regulatory requirements.
- Manage risk assessments, reporting and accident investigations to help mitigate workplace hazards.
- Provide first aid and support safety awareness training.
Office & Employee Support- Maintain Bond's brand standards across our workplace and client-facing spaces.
- Manage digital signage and ensure information remains current.
- Receive and coordinate mail and deliveries.
- Provide local recommendations and support for employees, clients and guests, including restaurants, accommodations, transportation and local venues.
- Manage visitor tracking through our Visitor Management system.
- Serve as the Grand & Toy Administrator.
- Welcome and escort guests to meetings and help ensure a positive visitor experience.

Compensation: The expected base salary compensation for this role is $53,000 to $65,000 CAD annually.
The actual base salary compensation will vary depending on local market conditions, geography, and relevant job-related factors such as skills, qualifications, experience, and education/training.
