Overview
The Administration Head – Bondada Group is a senior leadership role responsible for developing and executing the Group’s administration strategy and ensuring efficient, compliant, and seamless administrative operations across all offices, projects, and locations. The role will oversee administration, facilities, infrastructure, security, employee services, travel and transport, vendor management, and administrative compliance, while working closely with the leadership team and business functions to strengthen processes, optimize resources, ensure service quality, and provide effective administrative support aligned with the Group’s current and future business requirements.
Key Responsibilities
- Administrative Governance
- Develop and implement Group-wide administration policies, processes, SOPs, and service standards.
- Establish appropriate administrative controls, approval mechanisms, and accountability across locations.
- Ensure consistent administration practices across corporate, project, plant, and field locations.
- Monitor administrative performance through defined KPIs and MIS.
- Facilities & Infrastructure Management
- Oversee office, project, plant, and other facility operations.
- Manage facility maintenance, housekeeping, utilities, workplace services, and infrastructure requirements.
- Ensure facilities are adequately maintained and available to support business operations.
- Plan and coordinate new office/project setup, relocation, expansion, and closure activities.
- Security & Safety Administration
- Oversee security arrangements across offices, projects, and other Group locations.
- Manage security agencies, manpower deployment, access control, visitor management, and related systems.
- Coordinate with relevant internal teams on emergency preparedness and workplace security.
- Periodically review security risks and strengthen preventive measures.
- Transport, Travel & Mobility
- Manage employee transportation, company vehicles, transport vendors, and related services.
- Develop effective travel and accommodation arrangements for employees and business requirements.
- Monitor vehicle utilization, fuel management, maintenance, and related costs.
- Ensure appropriate policies and controls for official travel and transportation.
- Vendor & Contract Management
- Manage administration-related vendors, service providers, and contractors.
- Ensure proper empanelment, commercial evaluation, service-level agreements, and performance reviews.
- Negotiate contracts and commercial terms to ensure service quality and cost effectiveness.
- Monitor vendor compliance with contractual and statutory requirements.
- Budget & Cost Management
- Prepare and manage the annual Administration budget in line with business requirements.
- Monitor administrative expenses and identify opportunities for cost optimization without compromising service quality.
- Establish appropriate controls for recurring and project-specific administrative expenditure.
- Provide periodic budget and cost MIS to leadership.
- Employee & Workplace Services
- Ensure timely and effective administrative support to employees across locations.
- Oversee workplace amenities, employee facilities, canteen, housekeeping, seating, and other support services.
- Maintain a professional, safe, and employee-friendly workplace environment.
- Coordinate administrative support for leadership meetings, events, visits, and Group programs.
- Compliance & Risk Management
- Ensure applicable administrative, facility, fire, security, building, and local regulatory requirements are appropriately managed.
- Maintain necessary licenses, agreements, records, and documentation related to administration.
- Coordinate with internal and external stakeholders for inspections, renewals, and compliance requirements.
- Identify administrative risks and implement appropriate mitigation measures.
- MIS & Technology
- Establish Administration MIS covering facilities, vehicles, security, vendors, expenses, assets, and other key areas.
- Leverage technology and digital systems to improve administrative efficiency and transparency.
- Maintain accurate administrative records and dashboards for management review.
- Drive automation of routine administrative processes wherever feasible.
- Leadership & Business Partnership
- Lead and develop the Administration team across the Group.
- Define roles, responsibilities, KPIs, and service expectations for the administration function.
- Partner with Business Heads, Project Heads, Finance, HR, Procurement, and other functions to address administrative requirements.
- Provide strategic recommendations to the leadership team on infrastructure, facilities, services, costs, and administrative risks.

Qualifications & Experience
- Education: Master’s degree in general business administration, or related field.
- Experience: 12 years of progressive experience in Administration,
- Demonstrated success in compliance management, employee engagement, and organizational development.
