Hybrid Role

Boost Training Consultancy and Honuskills SAAS | Port Hope, Ontario | Hybrid role

Monday to Friday, 9 - 4 p.m. | $60,000-70,000 CAD annually | In person one to two days per week as needs require.

Manja Horner is looking for an Executive Assistant who can make her work as the CEO more focused, prepared, and effective across two growing businesses. Through your work, you’re supporting Boost, a consulting and membership business in its 3rd year serving construction and skilled trades organizations, and Honuskills, a software startup. This is a hands-on role for someone who enjoys building order as the work evolves, takes ownership of important details, and wants room to grow into broader operational responsibilities. You have energy, are able to execute ideas quickly and hold to the high standards of the CEO.

What you will own

Keep the CEO’s inbox, calendar, priorities, and follow-ups organized. Triage requests, protect focus time, flag decisions, and make sure commitments have clear owners and deadlines. Balls can’t drop from the air and you know how to keep them all moving.

Prepare for important government, union or regulator meetings and conference or association speaking engagements: gather context, help assemble briefings and materials, confirm logistics, capture action items, and drive timely follow-through. Nothing important gets missed.

Draft clear correspondence on the CEO’s behalf, manage workflows and help the CEO move her initiatives and projects forward. You’re in lockstep and can handle all but the most strategic parts of the work.

Coordinate travel, conferences, and event schedules, including bookings, itineraries, registrations, and changes on the road. CEO will always be on time for a flight in whatever time zone she finds herself in.

Handle sensitive business administration with care. Track banking and finance tasks, invoices, bill payments, renewals, expense reports, records, and deadlines; coordinate with bookkeepers, accountants, legal counsel, insurance contacts, and other advisors, with appropriate CEO approvals. Your lips are sealed and you never miss a credit card payment or invoice deadline.

Ability to organize in-person work in Northumberland County, including meetings, errands, vendor visits, and events. Be ready to represent the businesses alongside the CEO at selected conferences and local events with strong executive presence, you’re no wallflower.

Plan content creation days from end to end: find suitable local locations locally, coordinate a stylist, photographer or videographer, schedules and vendors, and keep the production aligned with brand standards. The editors and creatives will take it from there.

Support basic marketing operations by managing timelines, briefs, assets, approvals, and external vendors so work is delivered accurately and on brand.

Keep digital files and standard operating procedures organized. Spot gaps, improve repeatable processes, and use appropriate AI and automation tools to reduce manual steps while protecting confidential information.

Document workflows and always be learning and implementing AI practices to automate your work and your CEOs, analyze and make improvements to the overall operations of your responsibilities and those of the CEO so we’re staying cutting edge with technology.

How you will work

You will work directly with the CEO and coordinate with a fully remote team and external partners. You can take an outcome, turn it into a workable plan, ask good questions early, and close the loop without constant direction. You challenge the CEO to describe standards and outcomes if it’s even too ambiguous for you. You bring calm judgment to changing priorities, communicate clearly, and know when a sensitive matter or decision needs to come back to the CEO.

What you bring

Experience supporting a founder, senior executive, or small leadership team in a role with lots of moving projects requiring organization, follow-up, and coordination responsibility.

Exceptional organization and attention to detail, with the ability to work within and create systems for tracking multiple deadlines and confidential information.

Sound judgment and discretion with financial, legal, personnel, and business matters; comfort coordinating with professional advisors. We can build a high level of trust from the start.

Confidence and professionalism in person and in writing, including with clients, members, vendors, and event guests. You’ve got strong executive presence

Strong written and verbal communication, careful proofreading, and proficiency with Google Workspace and Microsoft 365.

Experience with project management tools such as Clickup and Notion and with meeting note takers or transcription tools; ability to turn notes into clear actions and follow-up.

Familiarity with ChatGPT, Claude, and other AI tools, plus a willingness to study new tools, keep learning, and apply them thoughtfully to improve workflows.

Ability to work remotely and come to Northumberland County one to two days per week as needs dictate; availability for selected events and travel with reasonable notice. You work quickly without losing accuracy and are thoughtful about costs.

Growth opportunity

As the businesses grow, this role can expand into operations: owning more workflows, coordinating cross-team priorities, strengthening systems, and managing selected projects. The path will depend on business needs, demonstrated ownership, and your interests.
