About The Opportunity

Ideal Gear & Machine Works is part of Boundary Group, a diversified group of specialized industrial manufacturing and service companies serving customers throughout Western Canada. For more than 100 years, Ideal Gear has built its reputation on precision manufacturing, quality workmanship, and exceptional customer service.

We are seeking a Business Administrator who enjoys keeping an office organized, helping customers and colleagues, and managing day-to-day administrative responsibilities. Strong hands-on experience in both accounts payable and accounts receivable is essential to this varied role.

About The Role

Reporting to the Regional Controller, you will support the daily operation of the office, welcome and assist clients and visitors, and provide reliable administrative support to the team. You will also handle accounts payable and accounts receivable transactions, maintain accurate records, and follow up on outstanding items. This role suits an experienced administrator who is comfortable moving between customer service, office coordination, and transactional financial tasks.

Office Administration and Client Service

  • Greet clients, customers, vendors, and visitors; determine their needs and connect them with the appropriate team member.
  • Answer and direct incoming calls and general inquiries in a professional and helpful manner.
  • Coordinate incoming and outgoing mail, courier deliveries, and shipments.
  • Maintain office supplies and help keep reception, shared office, kitchen, and meeting areas organized and welcoming.
  • Prepare meeting rooms and arrange refreshments for meetings and visitors as required.
  • Prepare and update correspondence, documents, spreadsheets, and electronic and paper filing systems.
  • Provide day-to-day administrative support and coordinate requests with colleagues to keep office activities running smoothly.

Accounts Payable and Accounts Receivable

  • Process vendor invoices, maintain vendor records, and prepare invoices for approval and payment.
  • Reconcile vendor statements, investigate discrepancies, and follow up with vendors and internal contacts.
  • Prepare customer invoices, apply payments, and maintain accurate customer account records.
  • Monitor outstanding receivables and follow up professionally with customers on overdue balances.
  • Reconcile corporate credit card transactions and maintain supporting receipts and documentation.
  • Respond to routine billing and payment inquiries and refer more complex issues to the Regional Controller.
  • Maintain organized financial records and provide supporting documentation for month-end and audit requests.

What You Bring

  • 2–5 years of relevant business or office administration experience, including strong hands-on experience in both accounts payable and accounts receivable.
  • Experience greeting and assisting clients, handling telephone inquiries, and providing professional customer service.
  • Ability to manage competing priorities, follow through on requests, and balance office duties with time-sensitive AP and AR tasks.
  • Accuracy and attention to detail when entering transactions, maintaining records, and preparing documents.
  • Proficiency with Microsoft Excel, Outlook, and Word, and experience using accounting or ERP software; Infor Visual is an asset.
  • Clear communication skills, a collaborative approach, and discretion when handling confidential business, financial, and employee information.
  • Post-secondary education in Business Administration, Office Administration, Bookkeeping, or a related field is an asset.
  • Experience in a manufacturing or industrial environment is an asset.

Additional Responsibilities

Contribute ideas to improve office processes. Provide support to other Boundary Group operating companies as business needs require, including occasional travel between company locations. Perform other related duties as assigned.
