Administrative Assistant

Bridgeway Connection Services

Position Summary

Bridgeway Connections is seeking a reliable, organized, and detail-oriented Administrative Assistant to support the daily operations of the agency. The Administrative Assistant will be responsible for maintaining office systems, filing and recordkeeping, completing administrative tasks, supporting agency staff, and ensuring confidential personnel and agency information is properly managed.

Key Responsibilities

Administrative Support

· Perform general office duties including answering phones, responding to emails, scheduling appointments, and greeting visitors.

· Complete routine administrative and clerical tasks accurately and efficiently.

· Prepare, distribute, and maintain agency documents, forms, and correspondence.

· Assist management and staff with administrative projects and special assignments.

File and Records Management

· Maintain organized and accurate filing systems for personnel, agency, and program records.

· Create, update, and archive physical and electronic files.

· Ensure all employee and agency records are complete, current, and securely stored.

· Maintain confidentiality of sensitive personnel and organizational information.

Office Operations

· Monitor and maintain office supplies and equipment.

· Assist with data entry, document preparation, scanning, copying, and record retrieval.

· Support onboarding paperwork and employee documentation processes.

· Help coordinate meetings, training sessions, and agency events.

Compliance and Confidentiality

· Follow agency policies and procedures regarding documentation and recordkeeping.

· Ensure confidential information is handled professionally and securely.

· Maintain compliance with applicable regulations and organizational standards.

Qualifications

· High school diploma or equivalent required; associate degree preferred.

· Previous administrative, clerical, or office support experience preferred.

· Proficiency in Microsoft Office (Word, Excel, Outlook) and office technology.

· Strong organizational and time-management skills.

· Excellent written and verbal communication skills.

· Ability to manage multiple tasks and meet deadlines.

· High level of professionalism, discretion, and confidentiality.

· Strong attention to detail and accuracy.

The Administrative Assistant is expected to:

· Maintain accurate and organized personnel, agency, and program files at all times.

· Complete assigned office tasks promptly and accurately.

· Demonstrate professionalism in all interactions with staff, clients, and community partners.

· Protect confidential information and follow all privacy requirements.

· Meet established deadlines and prioritize work effectively.

· Maintain a clean, organized, and efficient office environment.

· Communicate effectively with supervisors and team members.

Physical Requirements

· Ability to sit, stand, and work at a computer for extended periods.

· Ability to lift and carry office materials up to 25 pounds.

· Ability to file and retrieve documents from office storage areas.
