We are currently looking for a MEP Project Coordinator to join our construction team. As a MEP Project Coordinator, you will assist in the development and build of remarkable buildings, fostering enduring relationships with our people, partners, and clients while maintaining the Broccolini core values, Pride and Passion, Collaboration, Integrity, and Entrepreneurial Spirit.

The Procurement Administrator is responsible for supporting the Procurement manager for all elements of the coordination of the procurement process at the company. Accountable to the Procurement Manager, the Procurement Administrator works in collaboration with the DRS team and delivers quality work on time.

The below tasks may vary between each Procurement Administrator at the discretion of the Procurement Manager. Each Procurement Administrator may be faced with different challenges.

Principal Responsibilities/Tasks:

Billing Support:

Assist with DRS purchase and rental invoicing (scanning, PDF creation).
Review invoices as directed by Procurement Manager.
Send invoices for supplies to job sites on a monthly basis.
Conduct quality control on the conformity of the invoices.
Follow-up on accounts payable and accounts receivable for DRS and Broccolini.
Assemble purchase documents (digital back up, vendor quote, packing slip, and invoice) in the appropriate file to be finalized.
Work closely with Montreal and Toronto Accounting teams with regards to invoice payments.

Coordination:

Dispatch and coordinate external transportation/deliveries as needed.
Organize site equipment transportation.
Maintain DRS security equipment management system (e.g., Dell Core fence and PPI equipment).
Update and maintain log of tools and equipment (e.g., Hilti, OpenSpace), issue POs for rentals as required.

Administration:

Liaise with sites and Driver as needed to confirm receipt of orders, gather packing slips and delivery documentation as necessary.
Support required workforce training and corporate events as required
Maintain site sign catalog and place signage orders.
Open new supplier accounts as directed.

Vehicle Fleet Management

Create POs for new vehicles and trailers.
Correspond with Executives to obtain necessary approvals.
Maintain Truck and Trailer Logs, ensuring accuracy.
Coordinate with vehicle users to ensure insurance slips are up to date and in the driver's possession.
Ensure registration stickers are up to date on all vehicles.
Manage branding and modernization initiatives as directed.
Track vehicle mileage (in kilometers).

Drone Management

Update and maintain log of drones and drone pilots.
Register drones with Transport Canada.
Obtain and manage insurance for drones and drone pilots.
Receive and resolve technical support requests for DroneDeploy software.

L’Administrateur(trice) à l’approvisionnement est responsable de soutenir le gestionnaire de l’approvisionnement dans l’ensemble des activités liées à la coordination du processus d’approvisionnement de l’entreprise. Relevant du gestionnaire de l’approvisionnement, il ou elle travaille en étroite collaboration avec l’équipe DRS et veille à livrer un travail de qualité dans les délais établis.

Les responsabilités ci-dessous peuvent varier d’un(e) Administrateur(trice) à l’approvisionnement à l’autre, selon les besoins déterminés par le gestionnaire de l’approvisionnement. Chaque titulaire du poste peut être appelé à relever des défis différents.

Responsabilités principales

Soutien à la facturation

Assumer la responsabilité des différentes étapes du processus de facturation des projets.
Participer au traitement des factures d’achats et de location de DRS (numérisation, création de fichiers PDF).
Vérifier les factures selon les directives du gestionnaire de l’approvisionnement.
Transmettre mensuellement les factures de fournitures aux chantiers.
Effectuer un contrôle de qualité afin de s’assurer de la conformité des factures.
Effectuer le suivi des comptes fournisseurs et des comptes clients pour DRS et Broccolini.
Regrouper les documents d’achat (copie numérique, soumission du fournisseur, bon de livraison et facture) dans les dossiers appropriés afin de compléter les dossiers.
Collaborer étroitement avec les équipes de comptabilité de Montréal et de Toronto relativement au paiement des factures.

Coordination

Planifier et coordonner le transport externe et les livraisons, au besoin.
Organiser le transport des équipements vers les chantiers.
Assurer la mise à jour et le maintien du système de gestion des équipements de sécurité DRS (p. ex. clôtures Dell Core et équipements PPI).
Tenir à jour l’inventaire des outils et des équipements (p. ex. Hilti, OpenSpace) et émettre les bons de commande pour les locations, au besoin.

Administration

Communiquer avec les chantiers et les chauffeurs afin de confirmer la réception des commandes et d’obtenir les bons de livraison et autres documents requis.
Soutenir les activités de formation des employés ainsi que les événements corporatifs, au besoin.
Maintenir le catalogue des enseignes de chantier et effectuer les commandes nécessaires.
Ouvrir de nouveaux comptes fournisseurs selon les directives reçues.

Gestion de la flotte de véhicules

Créer les bons de commande pour l’acquisition de nouveaux véhicules et remorques.
Obtenir les approbations requises auprès des membres de la direction.
Maintenir à jour les registres des camions et des remorques.
Coordonner avec les utilisateurs des véhicules afin de s’assurer que les certificats d’assurance sont à jour et en leur possession.
Veiller à ce que les immatriculations de tous les véhicules soient à jour.
Participer aux initiatives de modernisation et d’image de marque de la flotte selon les directives reçues.
Effectuer le suivi du kilométrage des véhicules.

Gestion des drones

Maintenir à jour le registre des drones et des pilotes de drones.
Procéder à l’immatriculation des drones auprès de Transports Canada.
Obtenir et gérer les assurances pour les drones et leurs pilotes.
Recevoir et traiter les demandes de soutien technique liées au logiciel DroneDeploy.
