Original job description

Butterfield Support Services (Halifax) Limited provides centralized shared services and support to the Butterfield Group in the areas of Finance and Accounting, Human Resources, Information Technology, Operations, Client Services and Compliance. This position reports to the AVP Custody Operations. The Custody Operations Analyst is responsible for accurate and timely processing of various daily corporate actions in our custody systems, promptly attending to security setup & amendment requests from internal clients across jurisdictions, accurately booking, allocating, and releasing trades in various systems of Custody Operations, strictly following the operations guard lines to various deadlines are met for US and Non-US traded securities, Mutual and Alternative investment funds. In addition, the Specialist is expected to maintain static data in the Bank’s internal systems, and oversee all aspects of security pricing, working with external pricing vendors, brokers and investment managers. This position is also responsible for reconciling and investigating investment security related issues between the custodian, counterparties, internal clients and the Bank’s internal records.

About the Team

Butterfield’s Banking Operations team supports millions of financial transactions globally across all of our banking locations. Our customers range from personal bank account holders to corporate and wealth clients. Banking Operations is a fast-moving environment, where innovation is at the heart of the team’s everyday responsibilities to provide services that keep Butterfield at the forefront of financial services.

Your responsibilities will include:

Monitor and validate the prices integrated into Bank’s Asset Management Platform and update missing prices and benchmark indices as required.

Coordinate set-up and maintenance of assets in the Securities Master File within the agreed timelines.

Set- up new securities in internal system by comparing the data with vendor provided systems such as Bloomberg and ensure that security setups are validated as per the standard setup policy

Identify, investigate and resolve pricing discrepancies in accordance with set procedures

Process mandatory and voluntary corporate actions accurately and timely, such as dividend payments, reorganization, proxy, bond redemption, etc.

Actively monitor and correctly interpret notifications of complex corporate action events in the global market as well as accurately process various entries in eligible client accounts

Research and timely respond to inquiries from internal business partners, depositories, agents, brokers, clients, Investment Managers, sub custodians and/or custodians

Facilitate onboarding of new accounts with Custodians, and coordinate new security registration

Work with the Legal and Compliance teams, and ensure fund investing clients meet Fund and Custodian AML/KYC requirements

Review and approve redemptions, subscriptions and wire payments in sub custodian online portals, and our internal Banking system

Review and release trades in Portia Trader, BONY Workbench/NEXEN, BBH online portal and E2Gen

Liaise with brokers, depots, account administrators and custodians to ensure securities are settled on contractual settlement dates

Communicate and coordinate with the Cash Management team on a daily basis to ensure all trade settled are properly funded

Actively follow up with the Front Offices, custodian, Counterparty brokers to investigate trades failed to settle on contractual settlement dates, communicate and resolve issues in a timely manner

Receive and disperse critical information from custodians, such as trading restrictions, to account administrators and portfolio managers on a timely basis

Actively follow up on and resolve queries from account administrators and Portfolio Managers to ensure timely resolutions in accordance with time frames set out in Bank’s SLAs.

Make sure that daily reconciliation, and daily filings are complete, operations procedures are followed

Holistically pursue opportunities for process improvement/automation and ensure all required procedures are documented, updated and reviewed on a timely basis.

Assist with audit queries, and development and maintenance of operations documentation

Your qualifications and skills include:

College or Bachelor degree in a related discipline or the equivalent combination of education and experience is required.

Excellent knowledge of various investment security types a must, including common stocks, fixed income securities, mutual funds and alternative investment funds

Excellent attention to details

2-3 years of Experience in financial services industry, specializing in trade settlement, fund admin and corporate action

Excellent interpersonal, communication and organizational skills with the ability to manage multiple tasks and work effectively in a deadline-driven environment

Proficiency in Microsoft Excel, Bloomberg a must

A self- starter with strong ability to work well under minimum supervision

Ability to prioritize and work well under pressure to meet deadlines
