Original job description
Founded in 1989, AFD Petroleum is a leading independent supplier of fuel, lubricants, and storage solutions across Alberta, B.C., Yukon, and Alaska. With 35 years of experience, we’re committed to delivering reliable service, innovative solutions, and lasting value, centered on our people, our customers, and our communities.
Job Summary:
This is a dedicated billing role. Billing is the whole job, not one task among many. If billing has been a side portion of your past roles, this position will be a very different pace.
As our Billing Administrator, you’ll spend your full day turning deliveries, services, and shipments into accurate, on-time invoices. You’ll compile billing data, calculate fees and rates, and prepare consolidated and contract-specific invoices in Microsoft Dynamics 365 Business Central, then send them to customers or submit them through their online billing portals. You’ll match invoices to delivery tickets and purchase orders, process the inventory receipts and transfers that feed billing, and dig into discrepancies when the numbers don’t line up. Reporting to our Corporate Controller, you’ll work closely with our branches, Dispatch, and our Accounts Receivable and Accounts Payable teams.
Your Schedule
Full-time, permanent, Monday to Friday, 8:00 a.m. to 5:00 p.m., in office at our Edmonton office. Occasional overtime may be required around billing and month-end deadlines.
Why AFD:
- Great health and insurance benefits – medical, dental, vision, life insurance, disability, AD&D, because we believe in taking care of yourself.
- Discount on fuel.
- Career development.
- Paid orientation & training.
- Personal/Sick Paid Days.
What you will do day-to-day:
- Process a high volume of customer invoices every day in Business Central, from compiling data and computing fees to final invoice.
- Prepare consolidated and contract-specific invoices, applying customer pricing agreements and rate structures.
- Send invoices to customers or submit them through customer online billing portals.
- Compare invoices against purchase orders, delivery tickets, and receiving documents to confirm accuracy before they go out.
- Process inventory receipts, transfers, and reconciliations that support accurate billing.
- Investigate and resolve billing discrepancies, escalating pricing disputes and credit requests as needed.
- Build Excel reports on customer usage and spending.
- Respond to billing questions from customers, branches, and business partners by phone and email.
- Meet daily billing targets and month-end cut-off deadlines.
What you need to succeed:
- 3+ years’ experience in a dedicated, full-time billing role where invoicing was your primary responsibility, not a portion of a broader administrative, reception, or accounting role.
- Proven experience handling high-volume invoicing with a strong track record of accuracy.
- High School Diploma required.
- Advanced knowledge of MS Office, particularly Excel.
- Professional written and verbal communication skills.
- Organized and comfortable managing multiple deadlines at once.
Extra skills and Knowledge:
- Post-Secondary Diploma in Accounting, Finance, or Business Administration.
- Experience with Microsoft Dynamics 365 Business Central or a comparable ERP system.
- Experience with customer billing portals, contract or rate-based billing, or the fuel/petroleum industry.
As part of the interview process, all candidates will undergo a successful completion of pre-employment requirements, including a criminal record check and employment reference verification, and an offer will be contingent upon the successful pre-employment checks.
