Reconciliations Analyst

Location: Toronto

Pay range: $30/hr - $35/hr

Model: In office

Working type: Contract

Role Overview

The Reconciliations Analyst is responsible for supporting daily, weekly, and monthly reconciliation activities across accounts, securities, cash movements, transactions, and operational systems. This role helps ensure that internal records align with external statements, custodial records, settlement data, and other approved sources so that discrepancies are identified, investigated, escalated, and resolved in a timely manner.

Purpose of the Role

The role supports operational accuracy and risk reduction by reviewing breaks, validating activity, researching variances, and coordinating with internal teams to confirm proper resolution. Reconciliations are critical because unresolved discrepancies may affect client reporting, cash balances, trade settlement, regulatory controls, and overall service quality.

Key Responsibilities

Perform reconciliations across cash, securities, transactions, positions, accounts, and system records.
Review reconciliation breaks, exceptions, outages, unmatched items, and aging discrepancies.
Investigate root causes by comparing internal records against custodian, depository, bank, vendor, or counterparty data.
Document findings, update tracking tools, and maintain clear records of open items and resolution steps.
Escalate high-risk, aged, complex, or time-sensitive issues to managers, senior team members, or business partners.
Coordinate with operations, settlements, corporate actions, client service, trading, finance, technology, and other internal groups as needed.
Support month-end, quarter-end, and year-end reconciliation activities and reporting requirements.
Follow documented procedures, controls, and quality standards to reduce operational risk.
Identify trends, recurring issues, process gaps, or control concerns and recommend improvements where appropriate.

Tasks That You May Be Doing in This Role

Reviewing daily reconciliation reports and identifying items that require research or follow-up.
Matching transactions, balances, positions, and settlement activity across multiple systems or data sources.
Investigating discrepancies related to trades, transfers, income, fees, corporate actions, payments, or account updates.
Communicating with internal teams to gather information, clarify status, and confirm ownership of breaks.
Updating exception logs, workflow queues, spreadsheets, or reconciliation tools with clear notes and next steps.
Preparing status updates for managers or stakeholders on outstanding items and aging issues.
Helping validate that resolved items have cleared correctly and do not reappear in future cycles.
Supporting control reviews, reporting requests, and process documentation as required.

Skills and Attributes Needed

Strong attention to detail and accuracy.
Ability to work with large volumes of data, exceptions, and time-sensitive deadlines.
Good analytical and problem-solving skills.
Clear written and verbal communication skills.
Strong organizational skills and discipline in tracking open items through resolution.
Comfort using Microsoft Excel, Outlook, Word, and internal workflow or reconciliation systems.
Basic understanding of securities, cash movements, account activity, trade settlement, or financial operations is helpful.
Willingness to ask questions, escalate concerns, and follow documented procedures.

Expected Outcomes

Success in this role means reconciliation items are reviewed accurately, discrepancies are researched and resolved on time, aged breaks are escalated appropriately, and stakeholders have reliable information to support operational accuracy and client service.
