Corporate Actions Notification Specialist

Location: Toronto - Onsite

12-month contract

Role Overview

The Corporate Actions Notification Team is responsible for helping ensure that clients,

advisors, internal business partners, and operational teams receive accurate and timely

information about corporate action events. These events may include mandatory and

voluntary actions such as dividends, stock splits, mergers, tenders, exchanges, rights

o/erings, reorganizations, and other market events that may a/ect client holdings or

account positions.

Purpose of the Role

The role supports the communication and processing of corporate action information by

reviewing event details, preparing or distributing notices, tracking deadlines, and helping

coordinate responses or elections where required. The position is important because

corporate action events are time-sensitive and may carry operational, financial, client

service, and reputational risk if information is missed, delayed, or communicated

inaccurately.

Key Responsibilities:

Review corporate action announcements and supporting details from internal systems, custodians, depositories, vendors, or other approved sources.
Help prepare, validate, and distribute corporate action notifications to the appropriate recipients.
Track important event dates, response deadlines, payment dates, election windows, and operational cut-o/s.
Support the collection, review, and routing of client or advisor instructions for voluntary events.
Maintain accurate records of notices sent, responses received, and follow-up items required.
Escalate unclear, high-risk, or time-sensitive issues to the manager, senior team members, or relevant business partners.• Coordinate with operations, settlements, client service, trading, tax, compliance, and other internal groups as needed.
Help identify discrepancies between event sources, system records, account holdings, or entitlement details.
Assist with post-event follow-up, including status checks, reconciliation support, and issue resolution.
Follow documented procedures and controls to reduce operational risk and ensure consistency.

Task that you may be doing in This Role:

Monitoring incoming corporate action event notifications and identifying which events require communication or action.
Drafting or updating client/advisor notices using approved templates and event information.
Checking notification accuracy before distribution, including event type, security details, deadlines, options, and required instructions.
Following up with internal teams or advisors when responses are missing, incomplete, or nearing deadline.
Entering event details, instructions, notes, or status updates into internal tracking tools or workflow systems.
Helping investigate questions from advisors, internal partners, or operations teams related to a specific event.
Supporting daily reporting, work queues, exception logs, and deadline management.
Learning the end-to-end corporate actions process, including how notifications connect to elections, entitlements, payments, and account updates.

Skills and Attributes Needed:

Strong attention to detail and accuracy.
Ability to work with time-sensitive deadlines and competing priorities.
Clear written and verbal communication skills.
Comfort reviewing financial information, security details, and operational instructions.
Good organizational skills and discipline in tracking open items.
Willingness to ask questions and escalate when something is unclear or high risk.
Basic understanding of securities, investment accounts, and corporate action event types is helpful.
Proficiency with Microsoft Excel, Word, Outlook, and internal workflow or processing systems.

Expected Outcomes

Success in this role means corporate action notifications are distributed accurately and on

time, deadlines are tracked, stakeholders understand what action is required, and issues

are escalated before they create client or operational impact.
