Original job description

About us:

Calder is solving the data bottleneck for embodied AI and world models. Today's AI models lack the real-world, 4D data needed to reason on spatial problems and operate in physical environments. We capture, process, and deliver high-fidelity human-generated spatial data at scale, providing the substrate that trains the next generation of generalizable models for manipulation, navigation, and interaction.

About the Role

We are looking for a full-time Office and Event Manager to join our Toronto team to help keep our local office and related employee logistics running smoothly. This is a hands-on role for someone who is organized, proactive, comfortable wearing many hats and finds satisfaction in creating a positive work environment for a fast-paced startup. This is a full-time role in Toronto, requiring 5 days per week on-site at our local office.

Office Management

  • Lead the transition to our new Toronto office: coordinate with the broker, landlord, and contractors on fit-out, furniture, signage, and move day.

  • Manage daily office operations – supplies, kitchen/snacks, facilities, equipment, mail, and general upkeep.

  • Assist with office-specific invoices and bills to ensure our accounting team is receiving them in a timely manner.

  • Act as a liaison with building management and related vendors (e.g. cleaning, security, maintenance, etc).

  • Handle office-level security and compliance basics: badge and key administration, visitor policy, and insurance certificates for the landlord.

Event Management

  • Build and maintain an annual event calendar for hosted events and conference attendance.

  • Run logistics for the events we host: venue, catering, speakers, and guests.

  • Coordinate the recurring student and researcher drop-in program: scheduling, communications.

  • Handle conference logistics for events the team chooses to attend: registration, travel, shipping, booth setup, and post-event follow-up tracking.

  • Coordinate branded materials and swag: design with the team, ordering, and inventory.

Administrative

  • Help coordinate new employee logistics onboarding/offboarding (e.g. equipment, key/badge, desk, first-day settling in and learning the office, etc).

  • Coordinate team meals, events, meetings, and travel arrangements as needed.

  • Support leadership with ad-hoc administrative tasks and light executive assistance.

  • Maintain organized records and documentation as it pertains to the Toronto office.

About you:

  • Considerable experience in office management, operations, or administrative roles.

  • Strong organizational skills – able to manage multiple tasks, deadlines, and priorities independently.

  • Excellent communication skills, both written and verbal.

  • Experience in event planning and execution.

  • Proficiency with standard office tools (Google Workspace, Microsoft Office, spreadsheets, email).

  • Proactive and self-directed – comfortable taking ownership in a startup environment without heavy supervision.

Nice to Have

  • Experience in a tech startup or fast-growing company.

  • Experience with new office setup – finding and fitting out new office space.

  • Experience working with researchers and in the university ecosystem (U of T, Waterloo).

  • Knowledge of basic bookkeeping or accounts payable.

  • Familiarity with Canadian business operations basics.

  • Experience coordinating across multiple time zones (Canada/US, Asia).
