About the Calgary Stampede

Position Summary

Be at the heart of the action! Reporting to the Manager, Ag Competitions & Western Events, the Competition & Ranch Services Manager plays a key role in delivering exceptional competitor and exhibitor experiences while supporting the operations, projects, and programs that bring the Calgary Stampede Ranch and OH Ranch to life. In this dynamic and multifaceted position, you will lead exhibitor services, competition administration, event entries, and competitive program support across the Calgary Stampede's agriculture and western events portfolio.

As the primary lead for competitor and exhibitor administration, you will ensure the accurate, efficient, and customer-focused delivery of event entry processes, competition reporting, prize administration, and exhibitor communications. In addition, you will provide administrative support for the Calgary Stampede Ranch and OH Ranch, including budgeting assistance, stakeholder coordination, project administration, and educational programming logistics.

This full-time, office-based position offers the opportunity to contribute to a diverse portfolio of events and initiatives while supporting the success of both the Calgary Stampede's competitive programs and ranch operations.

Responsibilities

Responsibilities of this role include but are not limited to:

Competition & Exhibitor Services

Facilitate exhibitor and competitor registrations, entry administration, eligibility verification, confirmations, documentation and communications.
Manage/verify prize money payout documentation and compliance requirements.
Maintain competitor, exhibitor and event records and data integrity.
Develop reporting, analytics and participation summaries for management and committees.
Analyze entry platforms and software applications to identify efficiencies, cost-saving opportunities and process improvements that support a better exhibitor experience.
Support recruitment and retention of exhibitors and competitors.
Provide technical support for entry systems and competitor-facing platforms.
Support event operations and show office administration during peak periods.

Calgary Stampede Ranch & OH Ranch Administrative Support

Provide administrative support to both the Calgary Stampede Ranch and OH Ranch operations.
Assist with records management, stakeholder communications and project coordination.
Support educational programming, community engagement initiatives and special events.

Financial & Administrative Coordination

Assist with budget preparation, monitoring and reporting.
Coordinate purchasing requests and vendor communications.
Prepare operational reports, presentations and planning materials.

Leadership & Special Projects

Support seasonal staff and volunteer committees.
Develop and execute special projects and continuous improvement initiatives.

Qualifications

The ideal candidate will be proactive, optimistic and have worked in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications:

Post-secondary diploma or degree in Agriculture, Business Administration, Event Management, Finance, Agricultural Business, or a related field.
Minimum 5 years’ experience in agriculture, competition administration, event operations, livestock exhibitions or a related field
Advanced knowledge of Microsoft Office Suite.
Strong analytical and problem-solving skills.
Excellent communication skills, both verbal and written.
Strong planning, organizational and project management abilities.
Exceptional attention to detail and customer service skills.
Demonstrated commitment to regulatory compliance, procedural integrity, and adherence to sanctioning body requirements, organizational policies, and industry standards.
Proven ability to build and maintain effective relationships with volunteers, committees, exhibitors, competitors, and industry stakeholders within a volunteer-driven environment.
Ability to work occasional evenings and weekends during major event periods.
Ability to occasionally travel to the ranches or event locations for meetings and program support.
