Original job description
At Camp Tamarack, we believe everyone deserves the chance to experience adventure, nature and belonging. Our Office Manager keeps the details moving behind the scenes so campers, families, school groups and our team have a welcoming, well-organized experience. This is a hands-on position for someone who enjoys taking ownership, finding better ways to work and supporting a purpose-driven organization.
Hours: 20 hours/week in quieter periods; 30–35 in busy periods
Start Date: End of November, 2026
What you will do
Office and financial administration
- Process payments, prepare invoices, track outstanding accounts and follow up as needed.
- Maintain accurate administrative records and coordinate routine office supply purchases.
Camper registration and family support
- Maintain camp sessions and registration information in Campwise; prepare reports and camper orientation communications.
- Help families navigate registration, organize camper information, and coordinate third-party providers and transportation.
Bookings and events
- Respond to school, community and private booking inquiries; prepare quotes and coordinate rentals and programs through completion.
- Proactively grow school, community and private bookings through outreach, follow-up, relationship building and repeat-booking opportunities. Arrange occasional site tours and help organize events such as the Fall Carnival and Spring Family Camp Day.
Marketing and community communications
- Create engaging social posts, promotions and marketing materials; update website content and communicate with families and groups to increase awareness and inquiries.
- Track sponsor and donor recognition commitments and ensure acknowledgements meet the terms of each agreement.
Reporting, grants and executive support
- Prepare monthly registration and rental reports, including participation, booking trends and outreach results, for the Executive Director.
- Assist with grant applications, reporting, records and special projects.
Systems and process improvement
- Improve workflows and processes to make experiences easier for families, groups and staff.
- Use tools such as Asana, Outlook, Excel, OneDrive, Campwise, ConnectTeam, Slack, Zeffy and Canva.
What you bring
- Experience in office administration, coordination or operations, ideally with responsibility for managing multiple priorities.
- Strong organization, accuracy, judgment and clear, friendly written communication.
- Confidence learning software, working with spreadsheets and maintaining reliable records.
- An independent, proactive approach: you notice problems, follow through, build community relationships and identify opportunities to increase bookings.
- A welcoming, inclusive attitude and comfort working with families, colleagues and community partners.
Assets, not requirements: Nonprofit or camp experience, Canva and social media, website updates, grant support, supervising others, and familiarity with Alberta employment standards. A specific degree or HR designation is not required. Familiarity with inclusive or accessible programming, or a demonstrated commitment to equity, diversity, and inclusion, is beneficial.
A workplace that fits real life
This is a year-round hybrid role, with most hours typically fitting within the school day and more on-site presence during the summer. We value work-life flow and flexibility while ensuring families, groups and staff receive dependable support.
When operationally appropriate, employees may be able to bring children aged 4+ to camp, subject to supervision, safety and program availability. An eligible immediate-family benefit provides up to $500 in credit toward one week of summer camp. Details are confirmed during hiring.
