The Role

Carlson Construction Group is seeking a Site Administrator to join our team on the Neptune Terminal Project in North Vancouver, BC. This is a 6-month contract opportunity supporting one of the region's most exciting marine infrastructure projects.
Working on a 10-day on-site / 4-day off rotation, you'll play a critical role in supporting project operations, ensuring administrative processes run smoothly, and helping the project team stay focused on delivering successful outcomes.
This is an excellent opportunity for someone who enjoys working closely with project teams, managing multiple priorities, and contributing directly to the success of a major construction project.
What You'll Be Doing
As our next Site Administrator, you will be a key member of the project team, supporting daily operations and ensuring administrative processes are executed efficiently and accurately.
Your responsibilities may include:
- Coordinating and managing all site-related administrative activities.
- Processing and maintaining daily timesheets and labour records.
- Supporting project cost tracking, reporting, and document control processes.
- Coordinating meetings, preparing reports, and distributing project documentation.
- Maintaining project records, correspondence, and filing systems.
- Assisting with onboarding, orientation, and workforce administration activities.
- Supporting travel and accommodation arrangements as required.
- Collaborating closely with Project Management, Operations, HR, and Finance teams.
- Providing general administrative support to ensure smooth project execution.
Who You Are
You are highly organized, proactive, and able to manage competing priorities in a fast-paced construction environment. You enjoy being part of a team and take pride in delivering accurate, timely, and professional administrative support.
Qualifications & Experience
- 3+ years of administrative experience, preferably within construction, industrial, or project-based environments.
- Advanced proficiency with Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint).
- Experience with ERP systems such as Acumatica is considered an asset.
- Strong document management and database administration skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and organizational skills.
- Ability to work independently while supporting a multidisciplinary project team.
