About the Role:

As an Administrative Services Coordinator, you'll be at the center of daily business activities, creating exceptional experiences for clients, visitors, and colleagues while supporting a high-performing commercial real estate environment.

In this role, you'll serve as a trusted administrative partner, coordinating office operations, managing property marketing and listing support, facilitating meetings and events, and ensuring seamless day-to-day administrative processes. This position is part of CBRE's Administrative Services team, supporting business operations through a combination of customer service, coordination, organization, and administrative expertise that helps teams perform at their best.

What You’ll Do:

Perform administrative duties including updating databases, and including listing signs installations, changes, removal and inventory
Answer and route calls to appropriate personnel or voicemail. Respond to routine inquiries and provide information about the organization. Maintain confidentiality of all calls and information.
• Provide administrative (MLS listings) back-up to Admin Coordinator when required
Issue visitor's passes, validate parking and maintain guest logs.
Assist with scheduling meetings and preparing conference rooms. Maintain reception area, conference rooms, and kitchen areas.
Interact with vendors for events and coordinate setup in conference rooms.
Write routine reports and correspondence and respond to common inquiries or complaints from clients, co-workers, and supervisors.
Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
Impact through clearly defined duties, methods, and tasks are described in detail.
Deliver own output by following defined procedures and processes under close supervision and guidance.

Qualifications

What You’ll Need:

High School Diploma or GED with up to 2 years of job-related experience.
Ability to follow basic work routines and standards in the application of work.
Communication skills to exchange straightforward information.
Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
Strong organizational skills with an inquisitive mindset.
Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.

The salary range being offered for the Admin Services Coordinator is between $50,000-$55,000 annually.
