This job is part of the Program Management function. The team is responsible for the management of the myBuy/Coupa program from initiation through completion.

What You'll Do

Serve as the primary point of contact for Quebec-based vendor and stakeholder communications, translating and explaining myBuy/Coupa-related information as needed.
Distribute routine PMO reports, including status reports and updated Gantt charts.
Learn key myBuy/Coupa, Genie, and IFM Hub systems and processes, including providing knowledge transfer to teams.
Process PR/PO adjustments via the on-account request system, including PO category, NTE, and vendor changes.
Create and maintain recurring POs for assigned areas, including contract/year-end updates.
Support invoice aging and exception root-cause analysis for Finance.
Assist with vendor onboarding data quality and documentation standards for Procurement.
Collaborate with personnel from other departments to assist with implementation and process improvements.
Compile invoice aging data from Finance and FM Operations team members, update the aging report, and flag past-due balance, payment delays, and other financial reporting issues.
Have knowledge of standard PO/invoice principles with practical experience in applying them.
Lead by example and model behaviors that are consistent with CBRE RISE values.
Impact the quality of own work.
Work within standardized procedures and practices to achieve objectives and meet deadlines.
Exchange straightforward information, ask questions, and check for understanding.

What You'll Need

Bilingual fluency in French Canadian and English required to support Quebec accounts. When unavailable, may partner with Canadian Procurement or the site team to assist vendors with Coupa-related questions.
Bachelor's Degree preferred with up to 3 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered.
Ability to use existing procedures to solve standard problems.
Experience with analyzing information and standard practices to make judgments.
In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
Organizational skills with a strong inquisitive mindset.
Intermediate math skills. Ability to calculate difficult figures such as percentages, fractions, and other financial-related calculations.

À propos du poste

À titre d’analyste de programme au sein de l’équipe centralisée de soutien du Centre d’excellence myBuy/Coupa de CBRE, vous préparerez, évaluerez et présenterez les résultats de recherches liées au programme myBuy/Coupa. Vous offrirez également un soutien analytique et une assistance de niveau 1 aux équipes des Opérations de gestion des installations, des Finances et de l’Approvisionnement. Une excellente maîtrise du français canadien et de l’anglais est requise afin de soutenir les fournisseurs et les parties prenantes du Québec.

Ce poste relève de la fonction de gestion de programmes, dont l’équipe assure la gestion du programme myBuy/Coupa, de son lancement à son achèvement.

Vos responsabilités

Agir comme principal point de contact auprès des fournisseurs et des parties prenantes du Québec, et traduire ou expliquer, au besoin, l’information relative à myBuy/Coupa.
Diffuser les rapports périodiques du Bureau de gestion de programmes, notamment les rapports d’étape et les diagrammes de Gantt mis à jour.
Acquérir une bonne connaissance des principaux systèmes et processus de myBuy/Coupa, Genie et Portail GII, et transmettre ces connaissances aux équipes.
Traiter, au moyen du système de demandes imputées au compte, les modifications apportées aux demandes d’achat et aux bons de commande, notamment celles touchant la catégorie du bon de commande, le montant maximal autorisé et le fournisseur.
Créer et tenir à jour les bons de commande récurrents pour les secteurs attribués, y compris les mises à jour liées aux contrats et à la fin de l’exercice.
Aider l’équipe des Finances à analyser l’ancienneté des factures, les anomalies et leurs causes fondamentales.
Veiller à la qualité des données et au respect des normes documentaires dans le cadre de l’intégration des fournisseurs, en soutien à l’équipe de l’Approvisionnement.
Collaborer avec les membres d’autres services à la mise en œuvre d’initiatives et à l’amélioration des processus.
Compiler les données sur l’ancienneté des factures fournies par les équipes des Finances et des Opérations de gestion des installations, mettre à jour le rapport correspondant et signaler les soldes en souffrance, les retards de paiement ainsi que tout autre problème lié à l’information financière.
Connaître les principes courants relatifs aux bons de commande et aux factures, et posséder une expérience pratique de leur application.

Nos exigences
