We are seeking an organized and detail-oriented Human Resources & Health and Safety Coordinator to support our architectural millwork manufacturing operation. This role is responsible for administering human resources, payroll, and workplace health and safety programs for approximately 50 to 70 employees across manufacturing, project management, and administrative functions. While the role has no direct reports, it plays a key role in supporting employees, management, and the overall success of the organization.

This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining confidentiality and ensuring compliance with employment, payroll, and occupational health and safety legislation.

The successful candidate will manage recruitment, onboarding, payroll processing, employee benefits, personnel records, and HR compliance, while coordinating workplace health and safety programs, WSIB administration, employee certifications, workplace inspections, and participation in the WSIB Health and Safety Excellence Program.

Key Responsibilities

Process payroll changes, prepare payroll remittances including source deductions and EHT, coordinate WSIB reporting and annual reconciliations, prepare T4/T4A slips, complete year-end payroll reconciliations, and respond to employee payroll inquiries while ensuring compliance with applicable legislation and company policies.
  • Benefits, Leaves & Employee Records: Administer employee benefits programs, maintain enrollment records, track vacation, sick leave, and other leaves of absence, and serve as the primary contact for employee benefit inquiries.
  • Personnel Records & HR Compliance: Maintain accurate and confidential employee files, ensuring compliance with employment legislation, company policies, and document retention requirements.
  • Performance Management Support: Coordinate performance review schedules, maintain performance documentation, and assist managers with performance management processes and employee development initiatives.

Health & Safety Administration (50%)

  • Health & Safety Program Coordination: Administer the company Health & Safety Program and support compliance with Occupational Health & Safety legislation, industry standards, and company policies.
  • Training & Safety Orientation: Coordinate new hire safety orientations and ongoing safety training programs. Maintain records of employee training, certifications, and attendance.
  • Workplace Inspections & Hazard Reporting: Schedule and track regular workplace inspections, hazard assessments, and corrective actions. Follow up with departments to ensure timely resolution of safety concerns.
  • Incident Investigation & WSIB Administration: Coordinate reporting, investigation, and documentation of workplace incidents, injuries, and near misses. Administer WSIB claims, return-to-work programs, and modified work arrangements.
  • JHSC Administration: Coordinate Joint Health and Safety Committee meetings, prepare agendas, maintain meeting minutes, track corrective actions, and ensure all required postings and records are current.
  • Safety Programs & WSIB Excellence Program: Coordinate the company's participation in the WSIB Health and Safety Excellence Program, including tracking program requirements, maintaining supporting documentation, coordinating training and action plans, monitoring progress toward program objectives, and assisting with submission of program evidence and reporting requirements.
  • Safety Documentation & Compliance: Maintain health and safety policies, procedures, training records, inspection reports, SDSs, and regulatory documentation. Support audits and customer compliance requirements.
  • Training & Certification Tracking: Monitor employee training requirements, certifications, licenses, and renewal dates to ensure ongoing compliance and workforce readiness.
