WHAT YOU WILL DO

As an Administrative Associate, you'll be a trusted partner to the Advisor and an important point of contact for clients. Your responsibilities will include:

Client Experience & Relationship Management

Deliver exceptional service by responding to client inquiries via phone and email
Welcome clients and create a positive experience during office visits and meetings
Coordinate and schedule client reviews, follow-up meetings, and appointments
Maintain accurate client records and documentation
Support a variety of client transactions and service requests
Attend client meetings when required, capturing notes and assisting with follow-up activities

Advisor & Practice Support

Partner closely with the Advisor on administrative tasks, research, and client follow-up
Coordinate planning meetings and maintain team calendars
Assist with community engagement initiatives, client events, and marketing activities
Support social media communications and client outreach campaigns
Prepare meeting materials, forms, and presentation packages

Financial Planning & Meeting Preparation

Assist with gathering and updating client information
Prepare documentation, applications, and meeting materials
Update financial planning tools and client summaries
Manage electronic workflows, including DocuSign processes
Ensure all required paperwork is completed accurately and efficiently

Operations & Business Management

Maintain CRM and client databases
Support insurance and investment processing activities
Assist with office projects and business development initiatives
Monitor outstanding action items and maintain organized client files
Help ensure smooth day-to-day office operations

Preferred Qualifications

Experience in financial services, wealth management, insurance, banking, or a professional services environment
CIRO licensing and/or Life License is considered an asset
Familiarity with financial planning software and CRM systems is an asset

This opportunity is for an existing vacancy with the company. The anticipated base salary range for this position is $42,500 to $71,000. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a bonus program. In addition, The Company offers a variety of benefits to eligible employees, including health insurance coverage, wellness programs, life and disability insurance, retirement savings plans, paid leave programs, education-related programs, paid holidays and vacation time, and many others. Many of these benefits are subsidized or fully paid for by the company

This role follows our in office work model and requires employees to be onsite to support collaboration and business needs.
