Overall Purpose

Reporting to a District Superintendent, the District Coordinator provides comprehensive operational, administrative, and communications support to the District Superintendent, the District Inspector, District Patrol Inspector, and their associated teams.

The role supports the effective functioning of the district by coordinating information sharing, tracking tasks and priorities, and facilitating collaboration among internal teams and community stakeholders.

The District Coordinator plays a key role in community engagement by receiving, triaging, and coordinating responses to public inquiries, complaints, and concerns through the Community Relationship Management (CRM) System
Prepares communication deliverables, in all mediums, including the use of social media, to support district initiatives, shares timely information, and respond to District-related demands for service through appropriate channels.

Major Responsibilities

Provide administrative and operational support to the District Superintendent and District leadership team to support daily operations, coordination, internal communications, and follow up on district priorities.

Coordinates and supports meetings, appointments, training sessions, and briefings including preparation of materials and logistical arrangements required for effective delivery.
Supports the coordination, tracking, and documentation of district responses to incidents and community-impacting events, including Post Incident Procedure (PIP).
Supports district community engagement activities by coordinating and participating, as required, with community groups and business associations, and other stakeholders.
Supports district operations through coordination with internal partners, including Fleet Services to ensure required resources and services are available.
Supports the identification and advancement of District-policing priorities and initiatives and provides operational knowledge and context to support their implementation.
Maintains operational records, tracking tools, and information systems to support reporting, accountability, and informed decision-making across district operations.
Provide administrative and operational support to the District Superintendent, District Inspector, and District Patrol Inspector in support of evolving operational needs and priorities.

Manages and coordinates the intake, triage, and tracking of community, stakeholder, and elected-official inquiries, as well as requests for engagement related events, and officer presentations through established systems to support timely and appropriate responses.

Serves as a central point of contact for the district to support consistent processes and effective liaison with OPS section managers.
Support coordinated information sharing and district communications with internal and external stakeholders to ensure consistent processes, effective follow-through, and alignment with Corporate Communications on District-related policing initiatives and related outcomes.
Maintains structured information repositories and tracking tools related to district events, demonstrations and stakeholder requests to support and foster accountability and analysis.
Assists with the preparation of year end reports, statistical reports, and other related information to support operational reporting and decision-making.
Prepares communication deliverables in all mediums, including social media, to support district initiatives, priorities, and public information needs
Supports district communications by developing clear, accessible, and inclusive contents that aligns with OPS media branding, approval, and accessibility standards.
Highlights district and Integrated Neighbourhood Team activities through appropriate communications channels to support community awareness and engagement.
Collaborate with city departments and community partners to share updates and ensure consistent messaging across platforms.
Monitors and analyzes communication activities and engagement trends to inform continuous improvement of district outreach efforts.
Craft inclusive and compelling messages that reflect district priorities and encourage public involvement across diverse communities.
Supports community engagement initiatives through social media, the OPS website, surveys, or by leveraging other communications tools

Statement of Required Qualifications

Education and Experience

Two (2) year College Diploma in Communications, Marketing/Branding, Public Administration, Social Sciences or a related field.

Experience and formal training combined may substitute for stipulated education requirements.

Minimum three (3) years of progressive experience working in an administrative support function and / or operational support in a public or private sector fast paced and dynamic environment.

Including one (1) year of experience preparing and managing public-facing communications and social media content in a professional or organizational setting (e.g., corporate, public sector, nonprofit, or agency environment).

Language:

English – fluency in oral, reading, and writing. (Required for all positions)

French –fluency in oral, reading, and writing. (Required for one designated position)

Candidates may be required to provide a certificate of achievement from the current OPS approved testing facility for:
- Advanced Level 2 proficiency in French - oral expression and comprehension.

Effort and Working Conditions

Work is normally performed in standard office environment with minimal adverse working conditions.
May be required to work extended or flexible hours.

Desired Qualifications

Basic graphic layout and multimedia content support (eg., Newsletters, simple visuals).
Familiarity with web content management systems and analytics tools.
