Original job description

Why We Are Hiring

At cmi, we represent the creators of ideas. Our roster includes world-class keynote speakers, global thought leaders, and "near-celebrities" who transform how the world’s most successful companies operate. Behind every successful engagement is a team committed to exceptional service, attention to detail, strong relationships, and seamless execution. We work in a fast-moving environment where priorities can shift quickly, details matter, and our clients and talent rely on us to anticipate needs and find solutions.

We are looking for an experienced and highly organized Operations Assistant to join our team on a fixed-term contract while we provide coverage during a team member’s leave of absence. This role will provide additional operational capacity during the leave period and work closely with our Chief Operating Officer to help keep priorities moving, coordinate day-to-day operational activities, and ensure our teams have the support they need. This is an excellent opportunity for someone who enjoys stepping into an established organization, learning quickly, bringing order to complexity, and becoming a trusted operational partner.

We are looking for an Operations Assistant whose role will consist of:

· Provide day-to-day administrative and operational support to the COO as well as the team.

· Help manage priorities, deadlines, follow-ups, meetings, and action items.

· Coordinate information and activities across departments to keep projects moving.

· Track outstanding commitments and proactively follow up with team members and external partners.

· Assist with operational projects, process improvements, documentation, and implementation.

· Prepare reports, spreadsheets, presentations, meeting materials, and other business documents.

· Organize information and maintain accurate records and documentation.

· Support vendor, partner, and service-provider coordination as required.

· Basic IT Support for the team

· Handle sensitive business and personnel information with a high degree of confidentiality and discretion.

· Provide additional operational and administrative support as priorities evolve.

You may be a great fit if you:

· Have experience in operations, executive support, project coordination, administration, or a similar role.

· Are exceptionally organized and comfortable managing multiple priorities at once.

· Have strong attention to detail and take pride in accuracy.

· Have excellent written and verbal communication skills.

· Can distinguish between something that needs immediate attention and something that can wait.

· Are comfortable following up, asking questions, and respectfully holding others accountable for deliverables.

· Exercise sound judgment and understand the importance of confidentiality.

· Are adaptable and remain effective when priorities change quickly.

· Enjoy identifying ways to improve processes rather than simply working around problems.

· Are comfortable working with technology and learning new systems quickly.

· Can work independently while also collaborating effectively with a highly engaged team.

Experience in a talent agency, events, hospitality, travel, professional services, or another deadline-driven service environment would be an asset, but it is not required.

Essential Technology:

· Experience as an administrator in Salesforce

· Advanced capability with the Microsoft Office suite of programs, with a high accuracy rating

· You are experienced with Dropbox and the Cloud

· Internet research

· You are proficient in a Mac environment

· You are an advanced user of Google Mail & Calendars

· Typing speed of at least 70 wpm

The Person Who Will Thrive Here

You are someone who naturally thinks, “What needs to happen next?”
You enjoy creating order, closing loops, solving problems, and making things easier for the people around you. You don't need to be the person in the spotlight - you take satisfaction in knowing that things run better because you are there.
You understand that excellent operations are often about the small things: remembering the follow-up, catching the discrepancy, asking the extra question, documenting the process, and making sure nothing falls through the cracks.
Most importantly, you understand that in a service business, operational excellence ultimately supports people - our clients, our talent, and our team.

Contract Details

This is a fixed-term contract position created to provide temporary coverage during a team member’s leave of absence. The anticipated contract period is 6 months. As with any leave-related coverage, timing may be subject to change based on business needs.

Hours: Full-time / 37.5 hours per week

Compensation: $30 - 33 / hour

Location: South Calgary, in office position

Why Join Us?

You’ll have the opportunity to work closely with senior leadership and gain exposure to many areas of a global talent agency.
You’ll join a collaborative team where initiative is valued, ideas are welcomed, and operational excellence has a direct impact on the experience we provide to our clients and talent.
If you are organized, resourceful, curious, and energized by making things work better, we’d love to hear from you.
