Overview:

A professional Coordinator to assist F&B Managers in providing quality customer care in event planning and food service to Executive Dining Room clients and RBC executives. This person must deliver friendly and efficient customer service and create a warm and welcoming atmosphere for all guests of the Executive Dining Room, in person, by email and by phone.
Provide guest a great experience with us at Compass Gorup Canada by providing exceptional service and quality. Please follow all of the 7 Essentials of Customer Service Excellence as directed by CGC and your Management team in addition to bringing the required skills for the position.

Duties and Responsibilities:

Act as Coordinator for Royal Bank Executive Dining Room which includes monitoring and booking of various events through an online booking tool.
Works with RBC business partners to identify their event/meeting needs. Schedules site tours if necessary.
Reviews event requirements such as room capacities and layout, event flow, AV and Food and Beverage requirements. Provides informed recommendations on menu selections, beverage offerings, service styles, and dietary accommodations to support event objectives and enhance the guest experience. Coordinates with caterers to obtain catering orders and ensures accuracy of all requests.
Inputs all event and catering orders into Trimble in a timely and accurate manner.
Ensures each Executive Assistant understands protocols and booking process.
Participate in meetings with F&B Managers/Executive Chef to review upcoming event details or communicate last minute changes/dietary needs.
Provide solutions and resolve problems to ensure service is never compromised.
Provides regular feedback to F&B Managers and Executive Chef, communicating any issues/incidents that require escalation.
Works closely with Executive Assistant if meetings require, security, and fine details.
Provide an exemplary professional level of customer service to greet executives, officers, board members, clients and dignitaries.
Communicate effectively (both in writing and verbally) the booking requirements of each event to all relevant team members.
Manage last-minute changes and resolve issues.
Provide a high level of professional and friendly service and build strong proactive relationships with clients.
Complete billing details on event contracts (after the event)
Manage all reception tasks (greeting visitors, answering the phone, printing tent cards and menus)
Prepares and distributes daily, weekly and monthly event schedules.
Books and coordinates movers (HERITAGE) and related support services to ensure meeting room configurations and event setups are completed according to event specifications.
Other project/initiatives as assigned.

Requirements and Skills:

Exceptional customer service skills with a friendly and outgoing personality
High level of organizational skills with the ability to effectively prioritize tasks.
Previous experience in hospitality/catering management preferred (but not required)
Detail-minded
Ability to work in a team in a fast-paced environment and remain calm under pressure.
Excellent communication skills (written and verbal)
Ability to work independently and in a team.
