ADMINISTRATIVE ASSISTANT - An essential finance, administration, and client-service role at Compass Geomatics. One full-time permanent position - 11-4608 62^nd Street RED DEER, ALBERTA

POSISTION DESCRIPTION

Reporting to the Office Manager, you will provide essential administrative and operational support to the accounting and finance team while helping create a responsive, professional experience for clients, vendors, and colleagues.

YOUR IMPACT

ACCOUNTS PAYABLE

· Review, code, enter, and process invoices, purchase orders, and expense claims; reconcile vendor statements; resolve discrepancies; prepare payment runs; and maintain accurate vendor records.

ACCOUNTS RECEIVABLE

· Prepare and issue customer invoices, enter invoices in both accounting and third-party invoicing systems, process payment methods, and assist with collections.

CLIENT & RECEPTION SUPPORT

· Answer a multi-line phone system courteously, respond to surveying inquiries and job requests, gather legal land-description and location details, and guide the next step.

OFFICE COORDINATION

· Assist with meeting preparation, filing and scanning, travel planning, general administration, and booking meetings, couriers, and hotels through online platforms and telephone.

THE IDEAL CANDIDATE is confident, articulate, highly organized, and dependable. You manage competing priorities calmly, work accurately under pressure, and take pride in exceptional service.

WHAT YOU BRING

EDUCATION & EXPERIENCE

· Education: Post-secondary certificate or diploma in administration, accounting, or a related discipline.

· Experience: At least three years of business administration or accounting-office experience.

· Systems: Required: Sage accounting software. An asset: OpenTicket/OpenInvoice, Ariba, Pandell, or Fieldglass.

WORK STYLE & CAPABILITIES

· Service focused: Builds positive relationships with clients, vendors, field staff, and remote colleagues.

· Organized and accurate: Manages competing priorities, data entry, deadlines, and detail-oriented work with care.

· Technology ready: Proficient in Microsoft Windows and Office applications, including Word, Excel, PowerPoint, and Outlook.

COMPENSATION & BENEFITS

This is a permanent, full-time Red Deer office position. Compass offers a competitive starting wage, benefits eligibility after six months, and meaningful potential to grow within the company.

PAY

· From $25.00/hour, negotiable by experience
