Based in downtown Toronto, this is a fully onsite, five-day-per-week position working directly with the principals in a busy, high-expectation office environment.

The successful candidate will be trusted to manage a broad range of personal, family, and household-related matters, ensuring day-to-day arrangements run smoothly and priorities are handled efficiently. This role requires sound judgment, exceptional organization, discretion, and the ability to anticipate needs, resolve issues independently, and manage changing priorities with minimal direction.

Key Responsibilities

  • Oversee day-to-day personal scheduling and coordinate a range of commitments, ensuring priorities are managed effectively and potential conflicts are addressed in advance.
  • Coordinate travel arrangements and related logistics, both within Canada and internationally, adapting plans as requirements change.
  • Organize personal appointments and maintain follow-up schedules to ensure important commitments are met.
  • Coordinate family-related logistics and activities, including scheduling requirements and communication with relevant third parties.
  • Maintain accurate, well-organized personal records and documentation, ensuring information is accessible and handled appropriately.
  • Monitor routine household and personal financial administration, including payment coordination, expense tracking, and record maintenance.
  • Conduct research and make arrangements for personal requirements, evaluating available options and managing the associated logistics.
  • Coordinate private functions, special occasions, and other personal commitments from initial planning through execution.
  • Manage day-to-day requests, correspondence, deliveries, and other administrative matters as they arise.
  • Communicate with external contacts and service providers on behalf of the principals, ensuring requests are handled efficiently and professionally.
  • Anticipate upcoming requirements, manage competing priorities, and follow through on outstanding matters with minimal supervision.
  • Maintain strict confidentiality when handling personal information and sensitive matters.

Qualifications and Experience

  • Previous experience as a Personal Assistant or Executive Assistant with substantial personal support responsibilities, or in a comparable private service role.
  • Experience supporting high-net-worth individuals or private families is preferred.
  • Demonstrated ability to manage complex schedules, competing priorities, and detailed logistics.
  • Strong organizational skills and exceptional attention to detail.
  • A proactive, resourceful approach, with the confidence to make sound decisions and resolve issues independently.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with a range of contacts.
  • Proficiency with AI-powered productivity tools and the Microsoft Office suite.
  • A high degree of discretion, integrity, and professional judgment.
  • Comfortable working fully onsite in downtown Toronto, five days per week, in a role that requires flexibility and responsiveness.
