POSITION SUMMARY
The primary responsibility of the Health and Safety Coordinator is to support the client’s Health and Safety Managers in the development, implementation, maintenance, and continuous improvement of occupational health and safety programs, systems, and documentation. The Health and Safety Coordinator will assist in developing and maintaining occupational health and safety documentation, including policies, procedures, safe work practices, risk assessments, inspection forms, job hazard analyses, incident investigation documentation, and health and safety manuals. The role will also support field inspections, compliance monitoring, internal audits, employee and subcontractor safety requirements, and health and safety reporting.
RESPONSIBILITIES
- Maintain awareness of amendments to the Ontario Occupational Health and Safety Act (OHSA), applicable regulations, standards, and industry requirements.
- Assist in maintaining ISO requirements by supporting internal audits, documentation reviews, corrective actions, and external audit preparation.
- Provide periodic health and safety assessments, reports, recommendations, and follow-up for assigned projects and worksites.
- Review, format, update, and revise health and safety policies, programs, procedures, and related documentation for regulatory compliance and continuous improvement, as directed by the Health and Safety Manager.
- Review hazard assessments, job hazard analyses, safe work procedures, inspection reports, and other health and safety documentation and recommend appropriate revisions.
- Maintain and organize health and safety documentation within designated digital systems and platforms to ensure accuracy, accessibility, version control, and quality assurance.
- Assist in evaluating, planning, developing, and implementing health and safety forms, inspection templates, checklists, reporting tools, and other digital resources.
- Attend project and client worksites to conduct or support health and safety inspections, toolbox talks, observations, and compliance reviews as required.
- Document site observations, take photographs where appropriate, identify workplace hazards, and communicate potential risks and corrective actions.
- Develop and test inspection forms, site visit templates, incident reporting forms, and other health and safety tools prior to implementation.
- Monitor employees and subcontractors to support compliance with applicable health and safety legislation, project requirements, company standards, and established procedures.
- Participate in workplace accidents, injury, near-miss, and incident investigations and assist with preparation and completion of required documentation.
- Track corrective and preventive actions resulting from incidents, inspections, audits, and hazard assessments and follow up to support timely closeout.
- Prepare and maintain incident investigation reports, inspection records, corrective action logs, and other health and safety records.
- Track, analyze, and document health and safety statistics and assist in preparing quarterly and annual performance reports.
- Assist in developing and updating Health and Safety Manuals, programs, policies, procedures, and supporting documentation.
- Support employee safety orientations, training coordination, certification tracking, and maintenance of training records where required.
- Assist with administrative and Human Resources-related functions associated with employee onboarding, training records, compliance documentation, and employee file maintenance, as assigned.
- Maintain confidentiality when handling employee, client, incident, and company information.
- Perform additional health and safety, administrative, and compliance-related duties as directed by the supervisor or Health and Safety Manager.
QUALIFICATIONS
- 1–3 years of experience in occupational health and safety, safety coordination, compliance, construction, consulting, industrial operations, or a related environment.
- Post-secondary education in Occupational Health and Safety, Human Resources, Business Administration, Environmental Health and Safety, or a related discipline.
- Working knowledge of the Ontario Occupational Health and Safety Act (OHSA) and applicable regulations.
- Familiarity with ISO requirements, internal audits, workplace inspections, incident investigations, hazard assessments, and safe work procedures is considered an asset.
- Experience preparing, reviewing, maintaining, and controlling health and safety policies, procedures, manuals, forms, reports, and supporting documentation.
- Strong written communication, documentation, organizational, and record-management skills.
- Ability to identify workplace hazards, document observations, recommend corrective actions, and follow up on outstanding health and safety matters.
- Comfortable attending project and client worksites and working in both office and field environments.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and SharePoint; experience with digital health and safety management platforms is considered an asset.
- Previous Human Resources experience is considered an asset, particularly in employee onboarding, training coordination, employee documentation, policy administration, record keeping, and maintenance of confidential employee information.
- Experience coordinating employee training records, certifications, orientations, and compliance documentation is considered an asset.
- Strong interpersonal and communication skills with the ability to work professionally with employees, supervisors, subcontractors, clients, consultants, and management.
- Strong attention to detail and ability to manage multiple assignments, priorities, and deadlines.
- Valid Ontario driver’s Licence and ability to travel to project and client worksites as required are considered assets.
