Position: Events and Programs Coordinator

Reports To: Manager, Member and Community Programs

Contract Type: Fixed Term, Full Time (12mo contract)

The Chartered Professional Accountants of British Columbia (CPABC) is seeking a detail oriented, collaborative, and results-driven individual for the position of Events and Programs Coordinator to support CPABC member and community engagement events and seminars. Job Summary

The Events and Programs Coordinator reports to the Manager, Member and Community Programs, and supports the coordination and delivery of CPABC’s events and seminars for member engagement, Indigenous engagement, and Financial Literacy programming delivered to the public through a network of CPA volunteers. Focusing on coordination, communication, and logistical support, this role ensures a high-quality attendee experience and smooth delivery of events and seminars, while working collaboratively across the Member and Community Events, Financial Literacy, and Indigenous Engagement teams, as well as with other departments.

Key Responsibilities

Financial Literacy Seminar Support

Coordinates administrative and logistical requirements for virtual and in-person Financial Literacy seminars, including scheduling, session setup, speaker and volunteer walkthroughs, materials, communications, and participant support.
Monitors live virtual seminars, supports speakers, volunteers, and attendees, tracks attendance and participation, and troubleshoots routine technical or delivery issues.
Administers seminar evaluations, compiles and enters data as required, and prepares periodic summaries and basic reports.

Chapter Event Coordination Support

Coordinates administrative support for CPABC Chapter-hosted events, including maintaining event information, setting up registration and web pages, preparing promotional communications, creating post-event surveys, and drafting event recaps.
Works with internal event leads and Chapter representatives to track requirements, timelines, deliverables, and follow-up activities.

Event Logistics Support

Supports Financial Literacy and Indigenous Engagement events by coordinating materials, promotional items, displays, event kits, shipping, and other logistical requirements.
Completes quality checks to ensure materials are accurate, complete, and consistent with branding and event requirements.
Maintains inventory and distribution records, monitors stock levels and usage, and coordinates with internal teams and external vendors to source, order, and replenish event materials.
Develops and maintains event checklists, timelines, and logistics schedules, while tracking shipping, expenses, purchase orders, and vendor invoices to support successful event delivery.
Identifies and recommends practical improvements to event preparation, inventory management, and logistical processes.
Occasionally provides coordination support for in-person CPABC-hosted corporate events, including event and registration setup, web content, registration management, routine reporting, materials, and on-site logistics.
Attends events and provides registration, information booth, or other on-site support as required.

Administrative Support And Other

Coordinates the packaging and delivery of swag and/or appreciation gifts to various regions around the province.
Coordinates the collection and tracking of confidentiality pledges from volunteers.
Monitors shared inboxes and responds to routine inquiries from volunteers, host organizations, participants, partners, and other external inquiries.
Develops and maintains seminar and event templates, checklists, guides and other resources.

Knowledge And Experience

Two (2) to three (3) years of experience in event coordination, office administration, program support, or a related area. An equivalent combination of education and experience will be considered.

Demonstrated Skills And Abilities

Intermediate proficiency with Microsoft 365, including Word, Excel, Outlook, PowerPoint, and Acrobat Professional.
Strong written and verbal communication skills.
Excellent interpersonal and customer service skills with the ability to build rapport quickly.
Ability to work independently while collaborating effectively with internal teams and volunteers.
Strong attention to detail, organizational, and time-management skills.
Strong analytical skills with the ability to deal with sensitive and complex information.
Ability to manage multiple priorities, changing operational requirements, and competing deadlines in a fast-paced environment.
Ability to troubleshoot routine event, registration, webinar, and logistical issues and determine when escalation is required.

This role includes in-person event preparation and on-site event support based on operational requirements.

Preferred Knowledge, Experience, Skills And Abilities

Experience using event registration software, such as PheedLoop, SurveyMonkey, and PowerBI, is an asset.
Experience with web content management systems and basic HTML is an asset.

The starting annual salary for this position is between $42,250 – 50,150 per annum, based on candidates’ qualifications, experience, and internal parity. Exceptions may be considered with further review.
