Project Manager

Organization: Creative Matters Inc.

Terms: Full-Time

Location: Creative Matters, Toronto Headquarters

Reports To: Director of Creative Strategy

Creative Matters is a Canadian-founded design house dedicated to the art of interior textile

expression. Working globally and with a growing presence in Europe, Creative Matters creates

carpets, area rugs, and textile works for private residences, five-star hospitality, corporate

headquarters, the superyacht sector, and leading luxury brands. Drawing on generations of inherited

knowledge and production techniques, the company creates works that connect tradition with

contemporary expression.

Role Summary

The Project Manager is responsible for managing projects from initial inquiry and project scoping through design development, client approval, ordering, shipping, installation, and project closeout.

Working closely with clients, Designers, Logistics, Finance, suppliers, contractors, and other internal stakeholders, the Project Manager ensures projects are well coordinated, timelines are achievable, budgets are managed, and client expectations are met.

Client relationship management is a key part of the role, as repeat clients are an integral part of the Company’s sales and growth. Providing a high level of service is essential to maintaining strong, long-term client relationships.

The Project Manager serves as a key liaison between the client and project stakeholders, maintaining clear communication, project momentum, and accountability throughout the project lifecycle. The role requires strong organization, attention to detail, initiative, resourcefulness, and the ability to proactively identify and resolve project issues.

Key Responsibilities

1. Project Management & Delivery

Manage projects throughout the full project lifecycle, from initial inquiry and project scope through installation and closeout.

Collaborate with cross-functional teams to effectively manage project scope and ensure timely, budget-conscious project delivery.

Establish and maintain achievable project timelines and proactively monitor progress to ensure key milestones are met.

Coordinate internal resources and external vendors to support successful project execution.

Maintain project momentum through regular communication with clients, suppliers, and internal team members.

Identify potential project issues or delays and take proactive steps to address them.

Delegate and oversee tasks when necessary to support efficient project execution.

Connect with Directors or Managing Partners to strategize on complex project issues when required.

2. Client Relationship Management

Act as the primary liaison between the client and project stakeholders, ensuring strong communication throughout the project.

Build and maintain deep, supportive, and long-term client relationships.

Schedule and actively participate in client and project-related meetings.

Initiate client meetings when necessary to address project requirements, updates, or concerns.

Obtain all necessary client approvals throughout the project lifecycle.

Provide clients with required documentation, project information, updates, and other relevant details.

Maintain clear communication around project timelines, requirements, costs, and expectations.

Ensure client needs are addressed while maintaining project scope, quality, and budget requirements.

3. Design & Project Collaboration

Work closely with the Design team to manage project delivery, feedback, quality control, and revision processes.

Collaborate with Designers to ensure project objectives and client requirements are met.

Use knowledge of design, materials, and project requirements to identify opportunities for improvement across project elements.

Coordinate the transition of approved designs into ordering, production, shipping, and installation.

Support the Design team in resolving project-related issues and incorporating client feedback.

4. Project Coordination & Communication

Coordinate communication and deliverables between clients, Designers, suppliers, Logistics, Finance, contractors, and other project stakeholders.

Ensure project information is communicated clearly and in a timely manner.

Maintain accurate project documentation and provide necessary information to internal teams and clients.

Coordinate project-related meetings and follow up on required actions and deliverables.

Ensure relevant project information is maintained within the Company's systems and tools.

5. Quotes, Budget & Financial Coordination

Generate and/or revise project quotes as required.

Ensure project scope, costs, and client requirements are appropriately reflected in project quotes.

Monitor project costs and support budget-conscious project delivery.

Review project-related supplier invoices to ensure accuracy.

Coordinate with Finance as required regarding project deposits, payments, and invoicing.

Identify and communicate potential financial or scope-related issues that may impact a project.

6. Suppliers, Logistics & Installation

Coordinate with external suppliers and internal teams to support successful project execution.

Liaise with Logistics to coordinate the delivery and installation of goods.

Track production and shipping timelines and communicate updates to relevant stakeholders.

Coordinate installation requirements with contractors and other project partners.

Review site conditions and installation plans in collaboration with contractors, attending site whenever possible.

Address installation or delivery issues and coordinate appropriate follow-up.

Ensure project information and documentation are complete to support successful installation and closeout.

7. Project Systems & Process

Maintain accurate and timely project information within the Company's systems.

Follow established project management processes and procedures throughout the project lifecycle.

Support continuous improvement by identifying opportunities to improve project processes, communication, and efficiency.

Ensure project information, approvals, quotes, orders, and other required documentation are properly maintained and accessible to relevant team members.

3 to 5+ years of experience in project management, ideally within a creative, design, manufacturing, or related environment.
Proficiency with project management and collaboration tools such as Salesforce and Airtable.
