Art Administrator – Corporate Art Collection

12-Month Contract | Full-Time | Toronto | Hybrid In-Office

We’re looking for a highly organized Art Administrator / Collection Assistant to support the management and care of a significant global corporate art collection.

Working with a corporate Curatorial team, you’ll coordinate artwork movements and installations for Corporate Real Estate projects, while supporting collection records, budgets, invoicing and internal engagement. This is an excellent opportunity for someone who understands the visual arts and enjoys the operational side of managing a large collection.

What You’ll Do

Coordinate artwork movements, shipping and installations locally, nationally and internationally, working with fine-art shippers, movers, installers and gallery partners.
Track artwork locations, status and condition throughout project lifecycles and support hands-on installations, labelling and collection audits.
Maintain the collection database, recording acquisitions, sales, donations, missing works and audit information, and produce reports as required.
Track budgets, invoices and expenses related to artwork movements, installations and other collection activities.
Support Corporate Real Estate projects, ensuring artwork logistics align with project schedules and requirements.
Help promote the collection internally and provide employee art tours as requested.

What We’re Looking For

3+ years of relevant experience within visual arts, galleries, museums, corporate collections, art logistics or a related environment.
Understanding of visual arts and the art community, with practical experience handling, moving and installing fine art.
Exceptional organization, attention to detail and ability to manage multiple priorities independently.
Strong communication, interpersonal, customer-service and research skills.
Diplomacy and discretion when working with internal and external stakeholders.
Proficiency with Outlook, Excel and Word; experience with Inmagic or a comparable collection database is an asset.

The Opportunity

This is a unique opportunity to work hands-on with a significant international corporate art collection at the intersection of art, collection management and corporate real estate.

Travel: Occasional travel for art-related projects and significant artwork movements

Some evening/weekend availability may be required around installations and deadlines. The role also involves physical activity associated with art handling, labelling and collection audits, including lifting and bending.
