Crescent School invites applications for the following position:

HR Administrator

(16 Month Contract: October 2026 – February 2028)

Reporting to the Chief People Officer, the HR Administrator holds operational responsibility for all core HR services as part of the employee experience (benefits, pension, absence management, wellbeing, onboarding/offboarding, payroll coordination, etc.) and owns the day-to-day running of these foundational HR programs, including HRIS administration, HR metrics and reporting, policy maintenance, and audit preparation. This role requires close collaboration with staff and third-party service providers on a daily basis, emphasizing the importance of effective communication and relationship-building skills. The HR Administrator is a detail-oriented program owner who understands the importance of operational process and employee experience.

Responsibilities:

Serve as the primary contact for all staff regarding core HR services (benefits, pension, and payroll) resolving day-to-day enquiries with clarity, empathy, and appropriate confidentiality
Act as the School's main liaison with third-party service providers and partners (e.g., benefits carriers, pension administrators, payroll providers) regarding program offerings, service issues, and renewals
Own the day-to-day running of foundational HR programs, including benefits, compensation administration, and onboarding/offboarding processes, ensuring consistent and reliable delivery across the employee lifecycle
Act as a point of contact to all service providers like benefit brokers, HRIS service team, leave management, etc. and maintain good relationships
Administer and continuously improve employee benefits and pension programs, processing enrolments, changes, and terminations through payroll and carrier systems
Coordinate payroll-related HR inputs (new hires, changes, terminations, leaves, compensation adjustments) in partnership with the payroll function to ensure accurate and timely processing
Own and maintain the HRIS, ensuring data accuracy, timely updates, and effective use of the system for reporting and program administration
Produce regular HR metrics, reports, and dashboards (e.g., benefits utilization, onboarding completion, leave trends, headcount) for the People & Culture team and leadership
Maintain and update HR policies, ensuring they stay current and accurate, and support policy communication to staff
Prepare for and support internal and external HR audits, including compiling documentation and reporting as required
Lead the design and delivery of employee wellbeing programs and initiatives, sourcing and coordinating resources, communications, and events
Maintain accurate and current electronic and paper employee files and records across HRIS, payroll, and benefits databases, ensuring compliance with retention and privacy requirements
Manage HR program trackers, calendars, and documentation (e.g., leave tracking, milestone recognition, program participation) to keep operational initiatives on schedule
Assist with the preparation of internal communications, presentation materials, and employee-facing program documentation
Perform other duties as assigned

The successful candidate will have:

Post-secondary education and diploma, certificate, or degree in Human Resources Management
CHRP designation and membership in good standing with the HRPA
Minimum 3 years of progressive HR experience
Excellent proficiency with computers and databases, including HRIS and payroll systems
Communicates effectively, verbally and in writing
Excellent knowledge of current employment law and best practices
Strong research, analysis, planning, and organization skills with strong attention to detail
Displays a high degree of confidentiality when handling sensitive information
Professional judgment, superior time management and problem-solving ability
A genuinely service-oriented mindset, focused on supporting individual employees through everyday HR moments
