About the Role

We are seeking a highly organized and service-oriented Administration Assistant / Reception team member to support the day-to-day operations of our growing accounting firm.

As the first point of contact for clients, you will play a key role in delivering an exceptional client experience while supporting administrative workflows throughout the firm. This position is ideal for someone who enjoys staying organized, solving problems, communicating with people, and helping a professional team operate efficiently.

Key Responsibilities

Welcome clients and visitors in a professional and friendly manner
Answer, screen, and direct incoming phone calls and emails
Manage incoming and outgoing correspondence, electronic documents, and client communications
Schedule appointments and coordinate calendars
Maintain accurate client records and electronic filing systems
Assist with document collection and follow-up requests to ensure files remain complete and on schedule
Support client onboarding and administrative processes through client portals and e-signature platforms
Assist with tax return e-filing and CRA authorization processes
Communicate with clients regarding outstanding information and provide timely updates
Perform data entry, document preparation, and general clerical support
Coordinate with accounting staff to ensure smooth communication and workflow completion
Identify opportunities to improve internal administrative processes and efficiencies
Maintain a professional, organized, and welcoming office environment

Qualifications

Previous experience in an administrative, receptionist, office coordinator, or client service role
Excellent verbal and written communication skills
Professional phone etiquette and customer service abilities
Strong organizational skills with exceptional attention to detail
Ability to prioritize tasks and manage multiple deadlines effectively
Proactive problem-solving mindset and willingness to take initiative
Strong computer skills, including Microsoft Outlook, Word, and Excel
Comfortable learning and working with cloud-based software and digital tools
Ability to maintain confidentiality and professionalism at all times
High school diploma required; post-secondary education in business administration or a related field is considered an asset
