Cyclic Materials is building a resilient circular supply chain for rare earth elements and other critical materials. Through our fully integrated proprietary technology platform, we recover rare earths from end-of-life products and transform them into high-purity materials used to produce new permanent magnets. These magnets are critical to the modern economy, underpinning AI, automotive, e-mobility, electronics, semiconductor, energy, defense, and other advanced manufacturing sectors.

Founded in 2021, Cyclic Materials has rapidly become a category leader in rare earth recovery, achieving commercial operations in less than five years. We currently operate facilities in Ontario and Arizona, with further expansion underway in South Carolina. Backed by investment accounts advised by T. Rowe Price Associates, Inc., alongside strategic investors including Microsoft, Amazon, Hitachi Ventures, BMW i Ventures, Jaguar Land Rover’s InMotion fund, Energy Impact Partners, ArcTern Ventures, and Fifth Wall, we are scaling quickly and building the industrial backbone required to meet growing global demand for a secure and sustainable supply of rare earths.

Key Responsibilities

Coordinate pickup appointments with customers, suppliers, carriers, and internal operations teams.
Maintain accurate customer, supplier, pricing, shipment, and transaction data in CRM and ERP systems.
Monitor orders and pickups from scheduling through completion, ensuring timely follow-up.
Identify and communicate discrepancies involving weights, pricing, purchase orders, invoices, and shipment documentation.
Work with Commercial, Operations, Logistics, and Finance teams to resolve day-to-day issues.
Maintain organized and complete commercial records, including contracts, purchase orders, shipping documents, and customer correspondence.
Provide timely updates to customers and internal stakeholders regarding pickup schedules, order status, delays, and required actions.
Support customer and supplier onboarding, including collecting necessary documentation and setting up accounts.
Prepare reports and track key commercial metrics, such as volumes, open orders, pickup status, and transaction accuracy.
Assist the Commercial team with administrative tasks, customer follow-ups, meeting coordination, and sales documentation.
Help improve workflows, data quality, and communication across commercial operations.
Build effective working relationships with customers, suppliers, logistics providers, and other partners across the rare earth and permanent magnet supply chain.

Qualifications

Diploma or bachelor’s degree in business administration, supply chain, logistics, sales, or a related field.
Two or more years of experience in sales support, customer service, logistics coordination, commercial operations, or administration.
Experience working with CRM and ERP systems; proficiency with Microsoft Office, particularly Excel and Outlook.
Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
High attention to detail and commitment to maintaining accurate customer, shipment, pricing, and transaction records.
Excellent written and verbal communication skills.
Strong problem-solving skills and the ability to identify discrepancies, investigate issues, and coordinate timely resolutions.
Ability to work effectively with Commercial, Operations, Logistics, Finance, customers, suppliers, and transportation partners.
Demonstrated sound judgment, professionalism, and discretion when handling confidential commercial information.
Self-motivated, proactive, and comfortable working independently while contributing to a collaborative team.
Ability to adapt to changing priorities, processes, and business requirements as the company grows.
Experience in recycling, scrap metals, automotive, manufacturing, mining, or rare earth materials is an asset.
Familiarity with purchase orders, invoices, freight documentation, weights, pricing, and material transactions is an asset.

Pay Range: $50,000 CAD - $65,000 CAD
