Job Summary

Dalhousie University’s Faculty of Engineering is a research-intensive Faculty that thrives on research excellence, strategic partnerships, and stakeholder engagement. Reporting to the Manager, Departmental Operations, the Administrative Coordinator provides senior administrative and operational support for the Faculty’s graduate admissions, departmental operations, and academic activities. This role coordinates complex processes, supports administrative team functions, ensures compliance with university policies, and serves as a key resource for students, faculty, staff, and external stakeholders.

Key Responsibilities

Coordinate and administer graduate admissions processes, including application review, admissions tracking, applicant advising, and preparation of admission-related documentation.
Provide expert administrative support for graduate programs by maintaining admissions systems, updating program information, preparing reports, and supporting graduate scholarship activities.
Support departmental operations by coordinating teaching assistant hiring, processing payroll and personnel documentation, and maintaining compliance with collective agreements and university policies.
Coordinate academic scheduling, financial approvals, records management, accreditation documentation, and departmental events to support effective departmental operations.
Lead and coordinate day-to-day administrative workflows, ensuring consistent service delivery, effective workload distribution, and operational continuity across departments.
Support onboarding, training, and mentoring of administrative staff while developing procedures, promoting best practices, and fostering a collaborative team environment.

Note

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

Business/office administration program with three to five years’ related work experience (or equivalent combination of training and experience).
Demonstrated experience coordinating complex administrative processes, managing multiple priorities, and meeting competing deadlines.
Strong knowledge of administrative systems, records management practices, and Microsoft Office applications, with advanced proficiency in Excel.
Excellent interpersonal, organizational, written, and verbal communication skills, with a strong customer service orientation.
Proven ability to work independently, exercise sound judgment, maintain confidentiality, and collaborate effectively with diverse stakeholders.

Assets

Experience supporting graduate admissions, student services, or academic administration in a university setting.
Knowledge of university policies, collective agreements, accreditation processes, and academic scheduling procedures.
