Job Summary

The Document Controller is responsible for managing and maintaining the organization’s-controlled documentation and ensuring that documents are properly identified, reviewed, approved, distributed, stored, and archived throughout their lifecycle. This role ensures compliance with company document control procedures, specifications, and established standards while supporting employees and project teams with the effective handling and retrieval of documentation.

This position also provides administrative and operational support, prepares templates and reports as required, and contributes to the continuous improvement of document control processes and overall organizational efficiency.

Please note: This role is intended to transition from document controls to project controls once the project itself moves from design to construction phase in 2027.

Location: Beginning in Markham (design office), then transitioning St. Catharines' site in 2027, near the Garden City Skyway.

Project: Garden City Skyway, approx. completion date 2032

Salary range: $65,000-$75,000

Hours: Typical office hours of 8:00AM - 5:00pm, some flexibility required based on site activity or deadlines

Responsibilities

Manage and maintain all controlled company documents
Update, control, and maintain company procedures, forms, templates, and other controlled documentation.
Take ownership of document identification, classification, filing, and retention.
Manage the flow and distribution of documentation throughout the organization and ensure documents reach the appropriate recipients.
Ensure compliance with company specifications, document control standards, and established Document Control Procedures.
Support employees in following document control processes and ensure proper handling of documents from creation through approval, distribution, revision, and archival.
Oversee the complete document lifecycle, from inception and revision to final archival or disposal.
Ensure the proper organization, confidentiality, accessibility, and security of both electronic and hard-copy documents.
Maintain document registers and logs, process document requests, and assist employees with document retrieval as required.
Distribute and make controlled documents available to relevant employees, departments, project teams, and clients.
Track document distribution and confirm receipt by the appropriate personnel.
Create and maintain templates, registers, tracking tools, and ad-hoc reports to support project and company requirements.
Provide administrative support to company operations, including coordinating necessary repairs, maintenance, and related services.
Collaborate with internal teams to identify opportunities to improve document control processes and ensure consistent practices across the organization.
Perform other related duties and contribute to team objectives as required.

Qualifications Required

Education & Experience

College certificate or University degree in Civil Engineering, Construction Management, Project Management, or related field.
Prior experience in document control or in a construction environment managing documentation is an asset.
