Den 1880 is a boutique coworking, private office, event, and wellness space in the heart of Uptown Waterloo.

Our community includes entrepreneurs, growing companies, remote professionals, and local organizations who use Den to work, meet, host events, record podcasts, connect with others, and be part of a professional community.

We care deeply about how our space functions, feels and looks each day. We value great hospitality, thoughtful details, strong relationships, and people who take ownership of their work.

We're looking for a Reception & Member Experience Coordinator to become the primary daytime presence at Den.

This isn't a role where you'll sit behind a desk waiting for the phone to ring.

You'll get to know our members, welcome guests, answer questions, help solve problems, onboard new members, troubleshoot technology, prepare meeting spaces, support podcast recordings, and jump in on projects across Den. No two days are exactly the same.

Your Role

Reception & Member Experience

You'll be the first person many members and guests see when they arrive at Den and an important part of making the building feel welcoming, professional, and easy to navigate.

You'll:

Welcome members, guests, prospective members, and visitors
Notify members and hosts when their guests arrive and make visitors comfortable while they wait
Respond to general inquiries about memberships, meeting rooms, amenities, and services; answer incoming calls, take messages, schedule tours, and connect callers or visitors with the appropriate team member
Complete member onboarding and help new members get comfortable using the space
Assist with meeting room reservations, day passes, guest registration, and basic account questions
Help members troubleshoot everyday issues as they come up
Manage incoming mail, deliveries, and packages
Build genuine relationships with our members and become someone they know they can come to for help
Help create a consistently positive member and guest experience that supports Den's reputation, community relationships, and reviews

Technology & Podcast Support

You don't need to be an IT expert, but you should be comfortable with technology and willing to learn.

You'll help with things like:

Wi-Fi and connectivity questions
Meeting room screens and presentation technology
Mobile building access
Basic member account and booking issues
Helping guests get set up for podcast recordings in our studio
Troubleshooting small technology issues before escalating them when necessary

We're looking for someone who stays calm when technology doesn't cooperate and is willing to figure things out.

Day-to-Day Operations & Building Care

A significant part of this role is helping maintain the physical standard of Den throughout the day.

You'll help:

Open and prepare the building each morning, including lighting, music, and shared spaces
Maintain coffee and beverage stations throughout the day
Unload dishwashers, reset kitchens, and manage laundry of dish towels
Stock, tidy, and clean the Market Hall and shared supplies
Check restrooms throughout the day and replenish supplies as needed
Water plants and help maintain the overall presentation of the building
Set up and reset meeting rooms between bookings
Coordinate catering deliveries and meeting room food and beverage service
Monitor our parking lots and issue parking notices when required
Complete regular walkthroughs of the building, noticing and addressing anything that needs attention
Help ensure reception, kitchens, meeting rooms, and common spaces remain clean, organized, stocked, and welcoming throughout the day

This is a hands-on role. You should be comfortable pitching in wherever needed, including light cleaning and physical tasks such as carrying boxes, moving chairs, setting rooms, and occasionally rearranging furniture.

Events, Community & Team Projects

Depending on what's happening that week, you may also help:

Prepare spaces for corporate meetings and events
Assist with vendor arrivals and daytime event preparation
Set up member socials and community events
Support our events and hospitality teams with room transitions and setup
Capture or help coordinate occasional social media content
Support special projects with our management team
Test new systems, processes, or member offerings
Help improve how we do things as Den continues to grow

This is a good fit for someone who likes having a core set of responsibilities but also enjoys contributing to larger projects and seeing their work have an impact.

Who We're Looking For

The right person for this role is warm, outgoing, capable, and self-directed. You genuinely enjoy talking to people and are comfortable interacting with everyone from a first-time visitor to a CEO, vendor, event guest, or long-time member. You're also someone who doesn't need to be constantly given a task.

If the front desk is quiet, you naturally look around and think, What could I take care of? What needs organizing? Who could use some help?

You are someone who:

Is friendly, confident, and comfortable meeting new people
Has excellent customer service instincts
Communicates clearly and professionally
Is dependable and follows through
Works well independently and takes initiative
Looks for ways to be useful rather than waiting to be told what to do
Notices details and takes pride in keeping a space clean, organized, and well presented
Can manage several small priorities without becoming overwhelmed
Is comfortable learning new technology and systems
Enjoys collaborating with others while also being able to work independently
Likes the idea of contributing to larger projects rather than having a narrowly defined job
Is comfortable speaking up, asking questions, and solving problems

Previous experience in hospitality, customer service, hotels, restaurants, retail, reception, coworking, or another people-focused environment would be an asset, but we're equally interested in finding the right personality, work ethic, and attitude.
