Original job description

Welcome to Design Works Engineering!

We’re a dynamic, multi-disciplinary engineering firm offering expertise in civil, structural, mechanical, electrical, energy modelling, and fire protection design. United by a shared vision, our diverse team is passionate about delivering outstanding projects - and building even stronger relationships.

At Design Works, we’re a team of innovative professionals from all backgrounds, and we’re excited to connect with like-minded individuals who are ready to make an impact.

The Role:

As the Administrative Technology Assistant, you'll provide essential administrative and technical support for our Edmonton office. You’ll support project tracking, reporting, data entry, and documentation processes across multiple departments. This position is ideal for someone who thrives in a fast-paced environment, is highly comfortable with technology and AI tools, and has strong organizational skills.

Core Responsibilities:

Answer and direct incoming phone calls, greet visitors, and provide general office support.
Book travel for staff including transportation and lodging, ensuring accuracy and cost-effectiveness.
Monitor, maintain, and order office supplies; ensure the office remains organized and well-stocked.
Coordinate and maintain project documentation, timelines, and tracking systems.
Support project setup and close-out processes in our project management platforms.
Compile and maintain accurate project data, metrics, and reports for internal stakeholders.
Assist with workload tracking, resource planning, and milestone monitoring.
Communicate with team members across departments to collect project updates and input.
Ensure the accuracy and consistency of data across various systems and spreadsheets.
Identify and implement opportunities for process and reporting improvements.
Provide administrative support for project meetings, including scheduling and minute-taking when required.

What you bring:

2-5 years’ experience in administrative coordination, project administration, or data management.
Strong attention to detail and excellent organizational skills.
Proficiency in Microsoft Office Suite is required.
Experience with project management or ERP tools (e.g. Clickup, CoreBQE, or similar) is considered an asset.
Experience managing documentation and data cleanup in digital environments
Aptitude for learning new technologies and willingness to use AI-powered tools
Strong communication skills and the ability to collaborate across multiple teams.
Ability to prioritize and manage multiple deadlines in a fast-paced environment.
Post-secondary education in business, project management, administration, or a related field.

Who you are:

You are a natural self-starter with the ability to prioritize, self-schedule, meet tight deadlines, and work with colleagues from various departments, market sectors, and locations.
You are comfortable multi-tasking and prioritizing tasks without guidance.
You are hard-working, reliable, and you have open communication with your team.
You thrive in a fast-paced environment, where you welcome challenges, rather than shy away from them.

Why Join Design Works Engineering:

Be part of a collaborative, innovative, and growing engineering firm.
Competitive compensation, benefits package, wellness program, and on-site gym.
Opportunities for professional growth and development.
Supportive team culture that values people as much as projects.

At Design Works Engineering, we believe in building careers - not just offering jobs. Empowering our team to reach their full potential is central to our mission and essential to delivering exceptional value on every project.

We are proud to be an equal opportunity employer. If you believe this opportunity aligns with your skills and aspirations, we encourage you to apply with confidence. Should you require accommodations during the recruitment process, please don’t hesitate to let us know.

Only the most qualified candidates will be contacted directly by our team for the next steps.
