Schedule: Monday–Thursday in office, Friday remote
Working Hours: 8:30 AM – 5:00 PM
About the Role
We are seeking a Senior Administrative Assistant to provide high-level administrative and operational support across multiple banking teams. The successful candidate will help ensure the smooth coordination of day-to-day business activities, administrative processes, and operational requirements.
This role will focus on calendar and meeting coordination, travel arrangements, expense processing, event coordination, reporting, and general administrative support, while also providing flexible coverage across various teams and functions as business priorities evolve.
The ideal candidate is highly organized, adaptable, professional, and able to quickly transition between different priorities and work environments.
Key Responsibilities
- Provide senior-level administrative and operational support to managers, senior executives, and diverse banking teams.
- Coordinate calendars, meetings, meeting rooms, resources, and other requirements to ensure effective meeting facilitation.
- Plan, coordinate, and support department meetings, events, and business activities.
- Make travel arrangements, including flight and hotel bookings.
- Prepare and process expense claims, invoices, and related documentation in accordance with established procedures.
- Track departmental expenses and support budget monitoring and reporting.
- Prepare regular and ad-hoc reports, dashboards, tracking reports, and other administrative documentation.
- Gather, organize, and integrate information from multiple sources to improve reporting and administrative processes.
- Maintain organized electronic and physical filing systems and ensure business documents are readily accessible.
- Draft, edit, format, and distribute professional communications, presentations, policies, procedures, and correspondence.
- Respond to phone and general administrative inquiries, resolving or escalating issues as appropriate.
- Coordinate training requirements, including research, bookings, confirmations, and cancellations.
- Maintain office supplies inventory, place orders, and monitor supply levels.
- Coordinate office-related requirements, including staff/contractor moves, workspace planning, furniture requirements, and vendor coordination.
- Track overtime, staff vacations, absences, and other workforce-related information in accordance with established guidelines.
- Build and maintain effective relationships with internal stakeholders and external vendors.
- Provide guidance, coaching, and support to junior administrative team members as required.
- Identify opportunities to improve administrative processes and implement more efficient ways of working.
- Use sound judgment to identify, troubleshoot, and resolve administrative and operational issues.
- Take on additional responsibilities and projects as required.
Required Qualifications & Skills
- 1–3 years of relevant experience in an administrative, executive assistant, or professional support role.
- Post-secondary education in a related field is preferred.
- Experience providing administrative support in a corporate, financial services, banking, or professional services environment is an asset.
- Strong verbal and written communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Strong analytical and problem-solving abilities.
- Proficiency with MS Office applications, including Outlook, Word, Excel, and PowerPoint.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong interpersonal and relationship-building skills.
- Ability to work independently while collaborating effectively with teams and stakeholders.
