Job Title: Senior Portfolio Coordinator

Duration: 12 Months (possibility of extension/conversion)

Location: Toronto, ON (Hybrid – 3 days onsite)

Role Mandate

The Portfolio Coordinator (PCO) provides governance, reporting, financial, and delivery coordination support across a portfolio of Agile and Waterfall initiatives. This role is responsible for ensuring effective portfolio governance, executive visibility, operational discipline, and delivery readiness through the coordination of meetings, reporting, financial tracking, stakeholder communications, and portfolio controls.

This role provides key support within a large and growing portfolio, acting as a trusted partner to the portfolio lead. Working closely with business leads, Product Owners, Product Managers, Scrum Masters, and other senior stakeholders, the successful candidate will help drive priorities and deliver key initiatives within a highly collaborative environment.

A successful candidate is proactive, a self-motivated individual who takes initiative, navigates ambiguity, and requires minimal direction to drive work forward. The opportunity offers exposure to senior leadership, a supportive and inclusive team culture, and the chance to make an impact within a well-respected organization.

Governance & Meeting Coordination

  • Coordinate portfolio leadership forums, governance reviews, steering committees, and ad hoc meetings.
  • Manage meeting schedules, agendas, distribution lists, and meeting logistics as required.
  • Capture and maintain meeting minutes, decisions, action items, risks, and follow-up activities to ensure accountability and execution.
  • Conduct spot-checks of project documentation to ensure completeness, consistency, and compliance with established standards.
  • Support governance, compliance, audit, and risk management activities, including tracking approvals, signoffs, and outstanding actions.

Portfolio Reporting & Executive Communications

  • Collect, consolidate, and validate project updates across Agile and Waterfall delivery teams.
  • Utilize Jira and portfolio management tools to compile leadership reporting, track delivery progress, and provide portfolio insights.
  • Prepare executive dashboards, status reports, presentations, and briefing materials for leadership forums and governance committees.
  • Coordinate communications and follow-up activities across business, product, technology, risk, delivery, and executive stakeholders.

Financial Management & Portfolio Controls

  • Support portfolio financial management activities, including funding, budgets, forecasts, variances, and monthly financial reporting.
  • Track incremental funding requests, investment approvals, budget reallocations, and financial commitments.
  • Maintain portfolio financial records, reporting artifacts, and supporting documentation within SharePoint and approved repositories.
  • Monitor portfolio deliverables, reporting deadlines, governance submissions, and key commitments to ensure timely completion.

Delivery, Release & Onboarding Support

  • Coordinate onboarding activities for new team members, projects, and initiatives entering the portfolio.
  • Support monthly release readiness through pre-release LOB testing coordination and tracking, validating release participant lists and contact information, tracking and escalating issues, risks, and actions impacting delivery milestones and portfolio objectives.
  • Assist with implementation execution through participation in occasional monthly weekend implementations (1/2 day over the weekend) and post-release war room support.

Skills & Competencies

  • Strong knowledge of portfolio governance, PMO practices, project controls, and executive reporting.
  • Experience managing financial reporting, budget tracking, forecasting, variance analysis, and funding oversight.
  • Ability to coordinate governance activities, risk assessments, compliance reviews, approvals, and audit-ready documentation.
  • Proficiency in portfolio reporting and dashboard creation utilizing Jira, Confluence, Atlassian Rovo, Power BI, MS Copilot, and other portfolio reporting and productivity tools.
  • Strong stakeholder management skills with the ability to build relationships and collaborate effectively across business and technology teams.
  • Excellent verbal and written communication skills, including preparation of executive presentations, leadership communications, and meeting materials.
  • Strong facilitation skills with experience coordinating leadership forums, governance meetings, and working sessions.
  • Exceptional organizational, planning, prioritization, and time-management skills, with the ability to manage multiple competing priorities.
  • Strong analytical and critical-thinking skills with the ability to identify risks, trends, dependencies, and opportunities for improvement.
  • High attention to detail and commitment to accuracy, quality, and follow-through.
  • Self-motivated, proactive, and able to work independently while contributing effectively within cross-functional teams.
  • Adaptable and comfortable working in fast-paced Agile and Waterfall delivery environments.
  • Advanced proficiency with MS Excel, Word, Outlook, Teams, and SharePoint.
  • Advanced PowerPoint and Executive Presentation Development: Demonstrated expertise in creating executive-ready presentations with exceptional attention to detail. Skilled in applying professional presentation standards, including consistent formatting, branding, font usage, headers, footers, alignment, visual hierarchy, and logical slide flow, ensuring clear, polished, and impactful communications for senior leadership audiences.
