Administrative Assistant

Full-Time | In-Office | Financial Services | Calgary, AB

About the Role

One of our Advisors is looking for an organized, detail-oriented, and proactive Administrative Assistant to join his growing financial services practice.

This is an in-office role for someone who enjoys staying busy, keeping things organized, and taking ownership of their work. You'll provide administrative and client support while helping keep the day-to-day operations of the practice running smoothly.

You won't be expected to wait for someone to tell you what to do next. Once you understand the task, you'll be trusted to take it and run with it.

What You'll Be Doing

Your responsibilities will include:

Providing administrative and day-to-day client support
Managing paperwork and documentation
Supporting new business processes and follow-ups
Keeping client and practice information organized and up to date
Assisting with scheduling and coordination
Following up on outstanding items and keeping tasks moving
Supporting insurance and investment administration, as applicable to your experience and licensing
Maintaining accurate records and CRM information
Helping keep the practice organized and running efficiently
Communicating professionally with clients, advisors, and business partners
Identifying issues and taking ownership of getting them resolved

What We're Looking For

We're looking for someone who is:

Organized and able to manage multiple priorities
Fast and efficient without sacrificing accuracy
Extremely detail-oriented
Independent and comfortable taking ownership of their work
A strong communicator, both with clients and internally
Professional, friendly, and comfortable working with people
Comfortable learning new systems and technology
Able to stay calm and productive when things get busy

You should be comfortable receiving a task, understanding what needs to happen, and seeing it through without needing constant supervision.

When something doesn't go according to plan, we're looking for someone who can think critically, work through the issue, and come back with the problem and a proposed solution.

Experience & Licensing

Some experience in financial services, administration, or an advisor support role is preferred, but we are open to the right candidate.

Insurance or investment industry experience is an asset.

Licensing is preferred, but not required. Candidates who are currently licensed, have previous industry experience, or are interested in developing their career in financial services are encouraged to apply.

What Will Make You Successful

Attention to detail is critical in this role. Financial services involves a lot of moving pieces, documentation, deadlines, and client information, so accuracy and follow-through matter.

We're looking for someone who takes pride in their work, learns quickly, and can become a trusted part of the practice.

The Administrative Assistant will not make investment or trade decisions or provide product recommendations outside the scope of their licensing.

Compensation

$45,000-$50,000 for candidates who are unlicensed and new to the industry.

For experienced and licensed candidates, compensation is negotiable based on experience and qualifications
