Who You Are
The IT Procurement & Business Operations Analyst supports the Information Technology department across procurement, financial administration, vendor management, contract coordination, and project portfolio processes. You will work closely with Technology leadership and partners across Finance, Legal, Procurement, Cybersecurity, and the broader business to ensure technology investments are planned, acquired, tracked, and administered effectively.
You will coordinate routine software, cloud, telecommunications, infrastructure, maintenance, and support purchases and renewals within approved budgets and delegated authority. You will also support larger or strategically important negotiations, budgeting and forecasting activities, vendor management, project coordination, and portfolio reporting.
This role is well suited to someone who is highly organized, detail-oriented, financially comfortable, and able to manage multiple priorities while maintaining strong relationships with vendors and internal stakeholders. The position has no direct reports and requires sound judgment, proactive follow-through, and the ability to identify and escalate risks when appropriate.
What You’ll Do
IT Procurement, Renewals & Payment Administration
- Coordinate the end-to-end administration of routine software, cloud, telecommunications, maintenance, support, and infrastructure purchases and renewals valued below $25,000.
- Maintain a complete renewal calendar and initiate renewal activities early enough to evaluate business need, usage, alternatives, pricing, commercial terms, and required approvals.
- Obtain and compare vendor quotes, validate quantities and licensing requirements, prepare purchasing documentation, and coordinate requisitions, purchase orders, invoices, accruals, and payment follow-up.
- Confirm goods and services have been received and resolve discrepancies between contracts, purchase orders, invoices, and vendor records.
- Ensure purchasing activities comply with DIRTT policies, approval requirements, budget controls, documentation standards, and applicable internal controls.
- Escalate material commercial, legal, security, service, or budget risks to the appropriate Technology leader.
Contracting & Vendor Management
- Support and coordinate routine contract and renewal discussions, including pricing, payment terms, renewal protections, and service commitments.
- Support the Vice President, Information Technology with larger or strategic contract negotiations by gathering pricing comparisons, usage information, financial inputs, and supporting documentation.
- Maintain an organized repository of agreements, quotes, order forms, amendments, statements of work, insurance documentation, and key contractual obligations.
- Coordinate contract and vendor reviews with Legal, Finance, Cybersecurity, Privacy, Procurement, and business stakeholders as required.
- Monitor vendor performance, commitments, service issues, and commercial risks, and support vendor reviews and follow-up actions.
- Identify opportunities to consolidate vendors, rationalize licenses, eliminate unused services, avoid unnecessary renewals, and improve total cost of ownership.
Financial Planning & Budget Administration
- Assist with the annual Technology operating and capital budget and forecast processes by gathering, validating, and maintaining supporting information.
- Maintain visibility into recurring commitments, contract timing, expected renewals, project spending, purchase timing, and forecasted technology costs.
- Track actual and committed spending against approved budgets and assist Finance and Technology leadership with variance explanations and forecast updates.
- Partner with Finance on month-end accruals, invoice coding, prepaid expenses, capitalization support, budget transfers, and reconciliation activities.
- Gather cost information and prepare comparisons and supporting analysis for technology business cases and investment decisions.
- Develop and maintain reporting that improves transparency into Technology spending, commitments, savings, and financial risks.
Project Coordination & Program Administration
- Support project and program administration across the Technology portfolio by tracking schedules, milestones, actions, risks, issues, budgets, and status updates.
- Support project intake, prioritization, governance reviews, steering committee preparation, and portfolio reporting.
- Organize project meetings, document outcomes, assign and track actions, and follow up with accountable owners to support timely execution.
- Assist project managers, technical leads, business owners, and external partners with planning, documentation, communications, and delivery coordination.
- Monitor project financial performance, purchase requirements, vendor deliverables, and contract milestones.
- Flag delivery risks, resource constraints, unresolved decisions, and material changes to project owners or Technology leadership.
Technology Asset, License & Operational Governance
- Maintain accurate records of software licenses, subscriptions, warranties, support agreements, and relevant technology assets.
- Coordinate with Technology Operations and business owners to validate license assignments, usage, renewal quantities, lifecycle requirements, and retirement decisions.
- Assist with software compliance reviews, vendor and internal audits, SOX and IT general control activities, and evidence requests related to assigned processes.
- Document and continuously improve procurement, renewal, payment, budgeting, vendor, and project coordination procedures.
- Develop and maintain practical metrics for renewal timeliness, procurement cycle time, budget performance, vendor performance, and portfolio execution.
- Additional duties may be assigned that are reasonably related to the role. Responsibilities may be adjusted or reprioritized in response to evolving business needs, technology, and organizational priorities, while maintaining alignment with the overall scope, purpose, and responsibilities of the position.
What's Required
- Post-secondary degree or diploma in Business Administration, Commerce, Finance, Supply Chain Management, Information Technology, Project Management, or a related discipline; equivalent education and relevant experience will be considered.
- 2+ years of relevant experience in IT or technology procurement, vendor management, contract administration, business operations, or a related field.
- Direct experience working with software or SaaS vendors, licensing or subscription models, renewals, and technology-related contracts or purchasing processes.
- Experience working with purchase orders, invoices, budgets, and financial information.
- Strong coordination and organizational skills, including the ability to manage multiple deadlines, maintain accurate records, and consistently follow up with stakeholders.
- Ability to work effectively with technology vendors and cross-functional partners including Finance, Legal, Procurement, Cybersecurity, and business stakeholders.
- Strong analytical skills with the ability to prepare clear reports, comparisons, summaries, and supporting analysis for managers and other stakeholders.
- Proficiency with Microsoft 365 applications, particularly Excel, Word, Teams, and SharePoint.
- Strong attention to detail and the ability to identify discrepancies, risks, and opportunities for improvement.
- Excellent written and verbal communication skills, including the ability to communicate effectively with both technical and non-technical stakeholders.
- Demonstrated ability to manage competing priorities, work independently, and meet deadlines in a fast-paced environment.
- Sound judgment and discretion when handling financial, contractual, vendor, and business information.
What's Nice to Have
- Experience supporting technology budgeting, forecasting, accruals, variance tracking, or business cases.
- Experience with enterprise software licensing, SaaS agreements, cloud services, infrastructure support agreements, or technology cost structures.
- Experience with financial, procurement, contract management, asset management, ERP, or project portfolio systems.
- Experience supporting cross-functional technology projects or project portfolios.
- Experience with software asset management, IT asset management, or vendor management programs.
- Experience in a publicly traded or manufacturing environment.
- Experience with SOX, IT general controls, ERP, CRM, cybersecurity, or enterprise transformation projects.
- Relevant certifications in project management, IT service management, software or IT asset management, procurement, or FinOps are an asset.
