Join Our Team – Full-Time Office Administrator

Location: Dawson Creek, BC

DM Henderson Roofing Ltd.

DM Henderson Roofing Ltd. is looking for a reliable, organized Full-Time Office Administrator to join our team. This is a varied office role with significant responsibility for day-to-day accounting administration, customer transactions, project administration, and general office support.

We are looking for someone who is comfortable working with numbers, communicates well, pays close attention to detail, and can stay organized while managing a variety of responsibilities in a busy construction office.

Key Responsibilities
Accounting & Financial Administration

Manage day-to-day accounts payable and accounts receivable
Receive, code, enter, and process supplier and subcontractor invoices
Match invoices to purchase orders and supporting documentation and follow up on discrepancies
Code expenses and invoices to the appropriate jobs/projects and general ledger accounts
Assist with job costing and ensure project costs are accurately recorded
Prepare and issue customer invoices, including project and progress billings
Receive and process customer payments and transactions
Handle customer account inquiries and follow up on outstanding receivables as required
Reconcile vendor statements and respond to vendor inquiries
Assist with vendor payments and payment processing
Process and reconcile company credit card transactions
Maintain accurate accounting records and supporting documentation
Assist our accountant with other accounting and financial administration as required

Project & Operations Administration

Provide administrative support to the Operations Manager and project teams
Prepare WCB clearances, statutory declarations, and other project documentation
Arrange hotels, waste bins, portable toilets, couriers, and other project-related services
Communicate with customers, suppliers, and field staff to support smooth project flow
Assist our safety team with administrative tasks and documentation
Handle customer intake for roofing quotes and metal orders

General Office Administration

Answer phones and direct incoming calls
Greet customers, suppliers, and other visitors
Process mail and maintain organized digital and paper filing systems
Track and order office supplies
Perform general data entry, scanning, filing, and other administrative duties as required

Qualifications

Previous office, administrative, bookkeeping, or accounting experience preferred
Experience with accounts payable, accounts receivable, or basic bookkeeping is a strong asset
Experience in construction or the trades is an asset
Comfortable working with numbers and financial information
Comfortable using Microsoft Office, including Excel, Word, and Outlook
Strong attention to detail and organizational skills
Friendly and professional communication skills
Self-motivated and able to manage multiple priorities
Positive, team-oriented attitude and willingness to help wherever needed
Experience with accounting or construction management software is an asset
