As a Receptionist your responsibilities will include:

Serving as the first point of contact at reception, welcoming clients and colleagues while maintaining an organized and professional front desk environment
Answering incoming calls promptly and courteously, redirecting them to the appropriate departments or team members as needed
Supporting the Firm’s culture by demonstrating courteous, professional behaviour and fostering positive relationships
Performing general administrative tasks including mail sorting, scanning, courier coordination, vendor delivery tracking, access card management, and ordering supplies as needed
Managing internal scheduling and room bookings, and supporting catering as needed in collaboration with the Office Services Coordinator
Maintaining documentation with updated processes and floor plans, and managing supply orders including coding of invoices
Submitting facility requests online and coordinating with building management to ensure timely resolution and completion of service tickets
Managing visitor seat assignments for offices and workstations, ensuring accurate tagging and clear communication with requestors
Entering and maintaining client data using Microsoft Dynamics 365 software (D365)
Participating in training to stay current with changes in software and processes
Provide backup support to other team members and other duties as required

Minimum 3 years of administrative or relevant customer service experience, bonus points for experience in a busy professional services environment
Excellent verbal and written communication skills both in-person and virtually
Solid business acumen with strong interpersonal skills and demonstrated ability to build positive professional relationships
Strong organizational skills with the ability to effectively use technology and digital tools to streamline tasks and improve workflow efficiency
Strong attention to detail and consistent production of high-quality work
Ability to work effectively within tight timelines on simultaneous projects
Ability to walk during the day and lift/carry a minimum of 15lbs
Strong Microsoft Office Suite skill set (Word, Excel, Outlook)
Exceptional client service mindset with ability to de-escalate potentially difficult situations
