Donysh Inc. is looking for an organized, professional, and dependable Administrative Assistant / Receptionist to join our growing team. The successful candidate will be the first point of contact for clients and visitors while providing administrative support to management, accounting, estimating, and project teams.

About Donysh Inc.

Donysh Inc. specializes in flooring supply and installation for commercial and residential projects across the Greater Toronto Area. Our services include hardwood, tile, natural stone, laminate, carpet, resilient and specialty flooring, countertops, and floor leveling. We work closely with clients and project partners to deliver quality workmanship while meeting project schedules and requirements.

Position Details

Location: 126 Tycos Drive, Unit 6, Toronto, ON
Employment Type: Full-Time, On-Site
Working Hours: Monday to Friday, 8:30 a.m. – 5:00 p.m.
Compensation: $19–$23 per hour, based on experience and qualifications

Key Responsibilities

Welcome clients and visitors and maintain a professional reception area.
Answer and direct incoming calls, respond to inquiries, and take accurate messages.
Manage emails, correspondence, mail, and courier deliveries.
Coordinate calendars, appointments, meetings, and meeting-room arrangements.
Prepare meeting agendas, record minutes, and follow up on action items.
Prepare, format, and proofread documents, spreadsheets, reports, and presentations.
Maintain organized digital and physical filing systems, contact lists, and office records.
Create and update Excel spreadsheets, administrative trackers, and basic reports.
Assist with basic QuickBooks entries and organize invoices, receipts, and financial documents.
Support customer and vendor onboarding and prepare administrative forms.
Monitor office supplies, coordinate purchases, and manage office services.
Assist with company events, team activities, and client visits.
Provide ongoing administrative support to management, accounting, estimating, and project teams.
Perform other administrative duties as required.

Qualifications

Previous experience in reception, office administration, or a similar position is preferred.
Excellent spoken and written English, with strong communication and professional telephone etiquette.
Strong proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
Strong Excel skills, including data entry, formatting, sorting, filtering, basic formulas, and maintaining accurate tracking spreadsheets and reports.
Familiarity with QuickBooks is preferred.
Strong organizational, time-management, and multitasking abilities.
Excellent attention to detail and accuracy in document preparation and data entry.
Ability to work independently, prioritize responsibilities, and collaborate effectively with team members.
Professional, reliable, punctual, and proactive attitude.
Ability to handle confidential information with discretion.
Familiarity with standard office equipment, including printers, scanners, and copiers.
High school diploma or equivalent; additional education in business administration or office management is an asset.
Previous experience in the construction industry and familiarity with construction documentation are considered assets.
