About the Role

The Recruitment Analyst supports the recruitment of physicians and other healthcare professionals for market research studies. This role assists with outreach, screening, scheduling, and tracking of respondents to ensure studies meet recruitment targets, timelines, and quality standards. This role will also support with some office management tasks.

Key Responsibilities

Support physician and healthcare professional recruitment for qualitative and quantitative studies

Research, build and maintain profiles for healthcare professionals across a range of specialties

Find contact information for health care practitioners through journal articles, websites, etc.

Conduct outreach, follow-up, and scheduling with potential respondents

Assist with screening and qualification of physicians against study criteria

Maintain accurate tracking of recruitment status, quotas, and timelines

Ensure respondent data is accurate and compliant with privacy standards

Flag recruitment challenges and support troubleshooting efforts

Support process documentation and continuous improvement efforts

Track and report on key recruitment metrics on a recurring basis, flagging trends or anomalies to leadership

Conduct ad hoc analyses on recruitment performance

Report any potential adverse events to the pharmacovigilance department of the client

Support with office administration tasks, such as helping plan office events, ordering / resupplying office snacks etc.

Qualifications

1–3+ years of experience in market research, recruitment, operations, sales or related roles

Interest in healthcare, pharmaceuticals, or life sciences research

Fluent in English and French – preferred

Experience using Salesforce is considered an asset

Strong project management and time management skills

Strong organizational skills and attention to detail

Experience managing multiple tasks and overlapping deadlines

Clear, professional written and verbal communication skills

Familiarity with workflow automation tools (e.g., Monday.com automations, Claude, Python) is an asset

Strong analytical skills, with experience tracking, analyzing, and reporting on recruitment metrics (e.g., conversion rates, physician participation rates, attrition rates, etc.)

Strong presentation skills

Education

Bachelor’s degree required

Location: Hybrid (3-4 days a week in office – 130 Bloor St W)
