Payband: Band I; Starting Rate: $41.20; Four Year Rate: $47.57

Hours: 35 hours per week (1) one hour lunch; Mon – Fri (8:30 am – 4:30 pm; evening and weekend work is required occasionally)

Duties and Responsibilities:
Durham College (DC) is seeking an Event Coordinator to lead the planning, coordination and execution of special events. These events include, but are not limited to, Convocation, Open House, Program Info Nights, Orientations, Conferences, Job Fairs, employee events, partnership announcements, building openings, and other one-time events as required.

In consultation with the Manager and event client, the Event Coordinator develops event plans and works with vendors and onsite service departments to coordinate and deliver the required elements needed to successfully execute events for diverse audiences. The incumbent has a keen eye for detail and will be knowledgeable about the purpose, goals, and values, programs and services of the college. Using a high degree of judgement and independent action, the incumbent effectively implements event plans, while representing DC positively and professionally both internally and within the community.

Leads the planning, coordination and execution of a range of complex corporate and special events. Ensures all event-related activities meet or exceed Durham College standards and align with brand standards and key messaging by developing comprehensive event plans, preparing agendas, drafting scripts, booking facilities, arranging catering and rentals, coordinating décor, and audiovisual requirements, and overseeing the development, distribution and tracking of invitations.
Coordinate event volunteers, providing direction and support to ensure effective execution of event activities and a positive experience for guests and participants.
Oversee event logistics and coordinate the delivery of all required services, materials and resources.
Prepare and monitor event budgets to ensure expenditures are appropriately managed and aligned with approved requirements.
Lead post-event evaluation and debrief processes to assess event effectiveness, identify opportunities for improvement and support the continuous enhancement of event planning and execution.
Research, source, and order promotional items that are appropriate for Durham College's target audiences and adhere to brand standards. Track and manage promotional item inventory, project future requirements based on event schedules and departmental needs and maintain appropriate stock levels. Coordinate the distribution of promotional items as required, ensuring items are available in a timely manner.
Act as the primary coordinator for employees and departments needing C+M materials for events, providing guidance on appropriate materials and coordinating the loan, scheduling, distribution, and return of assets, including signage, media walls, tents and other branded event-related resources.

Qualifications:

A minimum of a 3-year diploma or degree in Public Relations, Events Management, Communications, Marketing, Business, or a related field.
A minimum of five years of work experience planning and executing complex, high-profile events is required.
Superior ability to organize and oversee all aspects of event planning, including detailed logistics, coordination and execution.
Highly organized and able to work independently with minimal direction.
Proven analytical skills with the ability to identify challenges, solve problems, and provide recommended solutions.
Demonstrated ability to coordinate multiple competing priorities and deadlines simultaneously.
Dependable, resourceful, creative, and possess excellent interpersonal skills.
Ability to work under pressure, adhere to strict timelines, and coordinate efforts among several teams and stakeholders.
Experience in a post-secondary environment is considered an asset.
Must be able to regularly lift up to 44 pounds for event setup and logistics.
Must have access to reliable transportation to attend off-campus activities and events.
