Role Description The Office Manager is a full-time, on-site role based in Ajax, ON, responsible for overseeing day-to-day office operations and ensuring a professional, efficient work environment. Typical responsibilities include coordinating office activities, supervising administrative workflows, and maintaining office supplies and equipment. The role involves managing phone and email communications, greeting visitors, and supporting mortgage agents with document preparation and scheduling. The Office Manager will also handle basic record-keeping, assist with customer inquiries, and help maintain organized client files in accordance with company procedures and regulatory requirements. This position requires a proactive approach to problem-solving, attention to detail, and the ability to support a busy brokerage team.

Qualifications

Strong communication and customer service skills to interact effectively with clients, team members, and external partners.
Proficiency in office administration and administrative assistance, including scheduling, filing, and managing daily workflows.
Ability to operate and maintain office equipment and common software tools (e.g., email, spreadsheets, document management systems).
Excellent organizational skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced environment.
Previous experience in an office management or administrative role; experience in financial services or real estate is an asset.
Comfort with handling sensitive information confidentially and following established policies and procedures.
High school diploma required; post-secondary education in business administration or a related field is an asset.
