Overview:

We are seeking an experienced Project Administrator to join our team of professionals. The ideal candidate will work closely with the finance and technical teams to support projects from initiation through completion, ensuring accurate project set up, cost tracking, billing and financial administration. This position is primarily an in-person role based out of our Fort St. John office.

Job Responsibilities:

The immediate responsibilities of a Project Administrator will include, but are not limited to:

Preparing, reviewing, and finalizing project billing in collaboration with project managers.
Assisting project managers with project documentation, reporting requirements, and administrative support as needed.
Reviewing subcontractor invoices, technical descriptions, and supporting documentation to ensure work performed is accurately captured and appropriately billed.
Following up on outstanding invoices and billing items as required.
Utilizing Deltek Vantagepoint and other company systems to maintain project information, billing records, documentation, and financial data.
Interfacing with project managers, subcontractors, clients, and other stakeholders to address and resolve project and billing related matters.
Working independently while maintaining effective communication with project managers and relevant team members.
Reviewing Requests for Proposals (RFPs) and contracts to establish project-specific tracking systems.

Qualifications, Experience & Skills:

Bachelor’s degree in Environmental Science or a related discipline, including but not limited to Engineering, Biology, Agrology, Business Administration, Accounting, or Finance, coupled with a minimum of five (5) years of relevant industry experience.
Professional designation(s) such as CPA, equivalent accounting or bookkeeping credentials, RPBio, P.Ag., or Applied Science Technician/Technologist certifications are considered assets.
Demonstrated experience providing project administration, project support, or project coordination services.
Experience working with Deltek Vantagepoint, Ariba, OpenInvoice, or similar project management and financial software is considered an asset.
Strong interpersonal, organizational, and time management skills, with the ability to effectively manage multiple priorities and deadlines.
Knowledge of and experience within the environmental consulting industry is preferred.
Proficiency in Microsoft Excel, including tracking and reporting functions, along with a willingness to learn and utilize ERP and project management systems.
Ability to work effectively in an office-based environment while collaborating with multidisciplinary teams and stakeholders.
Legally authorized to work in Canada.

Compensation:

The pay range for this position is $24- $44 per hour; pay will be commensurate with experience and qualifications.
