The Project Coordinator will support EHRC’s Workforce Alliance ensuring Canada has the workforce it needs to build big energy projects across the country. Reporting to the Director of Special Projects, this role involves stakeholder engagement, project coordination, administrative support and process improvement. Ideal candidates are enthusiastic about supporting Canada’s low-carbon future and collaborating with partners across Canada.

Location: Ottawa, ON (Hybrid)

Type: Full-time, three-year contract, with possibility of extension

Reports to: Director of Special Projects

Salary: $50,000–$57,000, commensurate with experience

Start date: Immediate

Position Summary

Canada’s electricity sector is experiencing significant growth and transformation. As Canadians electrify their homes and vehicles, integrate renewable energy technologies into the grid and embrace the impact of digital technology, it is crucial to bring together employers, unions, post-secondary institutions and policymakers to address the labour challenges confronting the sector.

Electricity Human Resources Canada (EHRC) is working with its partners to build a world-class, safety-focused, innovative and inclusive electricity workforce.

Responsibilities

Stakeholder Relationship Management

Develop and maintain a comprehensive stakeholder database/CRM tracking employers, unions, post-secondary institutions, and policymakers engaged with the Alliance, including contact details, engagement history, and relationship status
Monitor and update stakeholder mapping to identify gaps in representation across regions, sectors, and stakeholder types critical to the energy and electricity workforce ecosystem
Support the Director of Special Projects in cultivating and maintaining relationships with key partners, including scheduling touchpoints, preparing briefing notes, and tracking follow-up commitments
Conduct research on potential new stakeholders (organizations, associations, government bodies) to expand the Alliance's network and identify strategic partnership opportunities
Track engagement levels and flag stakeholders who may be disengaging or require renewed outreach

Project and Meeting Coordination

Coordinate logistics for stakeholder meetings, working groups, roundtables, and Alliance convenings (scheduling, venue/virtual platform setup, agenda distribution, materials preparation)
Take and distribute meeting notes/minutes, track action items, and follow up to ensure commitments are actioned
Support planning and execution of larger Alliance events or forums, working with the Director to manage timelines and stakeholder invitations
Maintain project timelines, trackers, and status reports related to stakeholder engagement activities

Communications Support

Draft correspondence, invitations, and follow-up communications to stakeholders on behalf of the Director of Special Projects
Support development of stakeholder-facing materials (updates, newsletters, briefing documents) that communicate the Alliance's progress and priorities
Assist in preparing presentations and reports synthesizing information and summarizing stakeholder engagement and project progress for internal leadership or funders
Occasionally represent EHRC at industry events and speak to EHRC programs

Administrative Reporting

Provide general administrative support to the Director as needed to advance the Alliance's objectives
Perform other duties as needed in a dynamic work environment.

Qualifications

Undergraduate degree, college diploma or at least three years of related project and administrative experience in a professional service environment.
Outstanding communication and interpersonal skills; must be comfortable dealing with internal and external clients in senior management positions.
Strong knowledge of business support processes and tools, including client relationship management systems (CRMs), Microsoft Office and Adobe Acrobat.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Strong attention to detail.
Self-starter with the ability to work independently and as part of a team, with minimum supervision.
Ability to maintain confidentiality, discretion and tact when dealing with sensitive information.
Knowledge of the electricity industry is an asset.
Experience working in partnership with local, provincial or federal government departments is an asset.
Ability to work in English
Fluency in French is a strong asset.

Work Environment

Ottawa-based, hybrid work environment (minimum 3 days in office per week).
Small office with a team of about 20 staff.
Close to public transport, paid parking available, local amenities nearby.
Some travel across Canada is required.

This position is open to individuals returning to the workforce after an extended absence. EHRC values transferable skills gained during caregiving or other life experiences, such as balancing competing demands and remaining calm under pressure. Compensation and Benefits

Full-time, three-year contract, with possibility of extension
Salary: $50,000 to $57,000 annually, commensurate with experience for full-time work.
15 days of paid vacation annually.
