The Opportunity:

Eleqron Inc. is seeking an organized, proactive, and dependable Office Administrator to provide day-to-day administrative support to our team and help keep our office operations running smoothly. This is primarily an administrative role, with additional responsibility for supporting the team with project documentation, coordination, scheduling, and follow-up.

The ideal candidate is someone who enjoys being the person others can rely on to keep things organized and moving. They are comfortable managing multiple priorities, following up on outstanding items, communicating professionally with internal and external contacts, and taking ownership of the administrative details that keep operations flowing smoothly.

Key Responsibilities:

Provide a knowledgeable and welcoming first point of contact for all incoming communication and general inquiries.
Help maintain a professional, organized, and welcoming office environment.
Maintain confidentiality when handling employee, client, project, and company information.
Provide day-to-day administrative support to leadership and the team.
Help build, maintain and improve administrative processes, templates, filing systems, and internal procedures.
Coordinate and manage office and kitchen supplies, vendors, deliveries, and general office organization.
Assist with coordinating meetings and communications involving internal team members, clients, consultants, contractors, and other stakeholders.
Coordinate meeting logistics, prepare and distribute agendas prior to meetings, prepare materials, and document meeting notes and action items when required.
Maintain project files, records, trackers, schedules, contact lists, and related documentation.
Assist with tracking project deadlines, deliverables, outstanding items, and action items.
Follow up with team members on outstanding information and documentation as required.
Support the preparation and organization of proposals, reports, project packages, and client deliverables.
Provide additional administrative and project support based on evolving business needs.
What You Bring:
Diploma or certificate in Business Administration, Office Administration, or a related field is an asset.
Previous experience in administrative, office coordination, project administration, or similar support role is preferred.
Experience within an engineering, construction, consulting, architecture, or professional services environment is considered an asset.
Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
Strong written and verbal communication skills.
Excellent organizational and time-management abilities.
Strong attention to detail and accuracy.
Ability to manage multiple priorities and deadlines in a busy professional environment.
Comfortable following up with others and taking initiative to ensure administrative tasks are completed.
Professional, warm, and confident when communicating with employees, clients, consultants, contractors, and vendors.
