About the role.

As an Executive Assistant, you will provide proactive, high-level administrative support to a senior executive, ensuring seamless day-to-day operations and enabling organizational effectiveness. You will demonstrate exceptional organizational skills, discretion, confidentiality, and sound judgment while managing competing priorities in a fast-paced, matrixed environment. This hybrid role can be based in Toronto, Ontario.

What you’ll be doing.

Manage and prioritize the senior executive’s calendar and inbox, ensuring schedules are optimized for efficiency and productivity.
Anticipate business needs and coordinate activities across functions and global teams to drive alignment and execution.
Schedule meetings, appointments, and events, including developing agendas, preparing materials, recording minutes, and tracking action items.
Serve as a key point of contact for internal and external stakeholders, addressing a high volume of sensitive requests and priorities.
Monitor departmental deliverables and deadlines, proactively managing reminders and time allocation to support successful execution.
Coordinate complex domestic and international travel arrangements and manage expense reporting and reimbursements.
Support virtual and onsite meetings, leadership events, Quarterly Business Reviews, annual strategy sessions, and offsite planning activities.
Drive office efficiency through process improvements, documentation updates, document formatting, and supply management.
Assist with onboarding new team members by coordinating schedules, resources, and experiences that support successful integration.
Provide additional administrative and personal support as needed to ensure effective management of professional and personal commitments.

What you’ll need to be successful.

Minimum of 3 years of experience as an Executive Assistant or in a similar role supporting senior-level executives in a fast-paced, matrixed environment.
Strong collaboration skills with the ability to work effectively as part of a team and contribute to shared goals.
Exceptional organizational and prioritization skills with the ability to anticipate needs and adapt to changing business demands.
Proven ability to exercise independent judgment, maintain discretion, and handle confidential information appropriately.
Willingness to assist with occasional errands and responsibilities outside of a traditional office environment.
Strong attention to detail and commitment to accuracy and quality in all aspects of work.
Proficiency in Microsoft Office Suite, including Outlook, Teams, SharePoint, Excel, Word, and PowerPoint.
Experience with Concur or similar expense management systems is preferred.
Excellent verbal and written communication skills with the ability to interact professionally with stakeholders at all organizational levels.
Strong problem-solving capabilities and the ability to proactively manage competing priorities and resolve challenges.

Compensation Package: $52,600.00 - $70,200.00 . CAD annually
