Based in London, Ontario, the Infractions Clerk supports compliance with Technical Standards and Safety Authority (TSSA) requirements by administering and monitoring safety violation and clearance processes. The role is responsible for processing, validating, and maintaining records related to safety violations, working collaboratively with customers, contractors, field staff, and internal business partners to ensure regulatory and company requirements are met.
Responsibilities:
- Communicate with internal and external stakeholders regarding safety violation requirements, outstanding actions, compliance deadlines, and clearance documentation.
- Ensure safety violation records are complete, accurate, and consistent; initiate follow-up activities where required to obtain missing information or correct deficiencies.
- Investigate and resolve discrepancies, incomplete submissions, unmatched records, and addressing issues associated with safety violations and clearance activities.
- Process and respond to correspondence received from contractors, customers, field staff, and other stakeholders relating to safety violations and clearances.
- Generate and analyze reports, queries, and system data to support daily operations, compliance monitoring, and workload management.
- Identify and escalate emerging issues, trends, or risks that may impact compliance, customer experience, or operational performance.
- Process, review, validate, and administer safety violations and clearances, including the creation, cancellation, correction, and completion of records based on information received from field staff, HVAC contractors, customers, and other authorized internal and external stakeholders.
- Maintain accurate records and documentation in company systems to support regulatory compliance and audit requirements.
- Monitor safety violation timelines and follow established escalation processes for outstanding or overdue compliance activities.
- Provide support and guidance to contractors, customers, and internal stakeholders regarding safety violation and clearance processes.
- Support departmental projects, system enhancements, testing activities, and process improvement initiatives as required.
Qualifications:
- Strong verbal and written communication skills, including the ability to prepare accurate and professional correspondence.
- Demonstrated ability to investigate issues, analyze information, and determine appropriate resolutions within established policies and procedures.
- Ability to interpret and apply company policies, procedures, regulatory requirements, and work processes.
- Ability to learn and effectively utilize multiple business systems and databases, including SAP, Maximo, and other workflow applications.
- Ability to work independently with minimal supervision while exercising sound judgment and decision-making.
- Demonstrated ability to prioritize workload, manage competing deadlines, and adapt to changing business requirements.
- Experience in an administrative, customer service, compliance, utility, or regulatory environment would be considered an asset.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Demonstrated attention to detail and ability to maintain a high level of accuracy while managing multiple priorities in a fast-paced, deadline-driven environment.
- Strong customer service and interpersonal skills with the ability to communicate effectively with a variety of internal and external stakeholders.
- High school diploma or equivalent required.
- Ability to work effectively in a structured, process-driven environment with changing priorities and strict regulatory timelines.
- Strong organizational skills with the ability to manage large volumes of information while maintaining accuracy and attention to detail.
